Medical Staff Coordinator

Overview The Program Specialist II – Medical Staff Coordinator supports the Medical Director and Superintendent Offices by coordinating the application, reappointment, and clinical privilege processes for all medical staff. The role plans, directs, and monitors administrative workflows, and provides subject‑matter expertise in medical services contracts, graduate medical education, and credentialing. Essential Job Functions Coordinate the initial application, reappointment, and delineation of clinical privileges for all medical staff members. Verify and maintain active credentials, including license, DPS, DEA, and National Practitioner Data Bank checks. Manage individual credential files, peer‑review records, and chart audit assignments. Plan, direct, and monitor workflow within the medical staff office, including physician recruitment, MOD call coordination, provider lodging, and maintenance work orders. Maintain coverage schedules, physician rosters, and authorized signature lists. Coordinate new provider orientation with Competency Training and Development (CTD). Assist the Medical Director with monthly timesheet verification for MOD activities. Provide high‑level administrative support for projects, committees, and reports (e.g., Dangerousness Review Boards, data collection, reporting). Conduct quarterly tracer evaluations on SH units, analyze data, and generate reports for the Provision of Care team. Serve as subject‑matter expert for medical services contract development, evaluation, and renewal, preparing reports for the Governing Body. Maintain Medical Staff Bylaws and manage provider Ongoing Professional Practice Evaluation (OPPE) and annual evaluations. Coordinate Graduate Medical Education activities, including logistics for clinical rotations and collaboration with program directors and faculty. Participate in disaster response, recovery, or Continuity of Operations (COOP) activation as required. Knowledge, Skills and Abilities General office practices and procedures. Independent judgment in prioritizing duties and projects. Flexibility in problem solving and multi‑project management. Proficiency with data‑processing programs and complex administrative tasks. Effective public interaction and relationship building across departments and agencies. Discretion working with confidential materials. Proficient use of Microsoft Word and Excel. Registrations, Licensure or Certifications Preferred: Certified Provider Credentialing Specialist (CPCS) or Certified Professional in Medical Services Management (CPMSM). OR Working toward CPCS and/or CPMSM certification and successfully passing the examinations within two years. Initial Screening Criteria One year of experience in a medical support environment. Additional Information Applicants must pass fingerprint criminal background checks, pre‑employment drug screening, and registry checks (CANRS, Nurse Aid, Medication Aide, Employee Misconduct, LEIE). Males 18‑25 must register with the Selective Service. All applicants must be at least 18 years old (21 for certain positions). Flexibility for overtime and extended hours is required. Compliance with the HHSC immunization policy and state hospital operating procedures is required. Vaccinations for hepatitis B, measles, mumps, rubella, varicella, tetanus, diphtheria, pertussis, and influenza are mandatory. If an employee declines influenza vaccination, mask usage and other protective measures may be required.
