Client Services Specialist

Boatman Ricci is seeking a Client Services Specialist for our Naples office. This is a front-of-house, client-facing role that serves as the first point of contact for clients, visitors, and callers. You will be the foundation of the firm's client experience — ensuring every person who walks through our door or reaches us by phone is met with professionalism, warmth, and efficiency. This is a full-time position with a schedule of Monday through Thursday 8:30 AM–5:00 PM and Friday 8:30 AM–3:30 PM, with a one-hour lunch each day. What You'll Do Answer, screen, and direct all incoming calls promptly and professionally. Greet clients and visitors upon arrival; notify appropriate personnel. Assist with client payments over the phone via LawPay. Assist with Potential New Client payments over the phone via LawPay; communicate payment confirmation to the Client Experience Associate. Collect Potential New Client information and pass to the Client Experience Associate. Monitor and respond to general email inboxes and Slack directives. Set up and maintain the conference room for in-person meetings; coordinate Zoom for virtual meetings. Review the calendar daily for meetings or appointments. Assist with calendar maintenance and scheduling as needed. Check, sort, and distribute incoming mail daily. File correspondence and documents — physical and digital — in the appropriate locations. Maintain and update the vault list with client documents. Place product orders for the firm; maintain office and kitchen supplies. What We're Looking For A professional, warm, and composed demeanor; you are the first impression of the firm. Strong communication skills, both on the phone and in person. Detail Oriented, organized, dependable, and able to manage multiple tasks. Comfortable learning new software and systems; prior experience with Microsoft Office or scheduling tools is a plus. Discreet with confidential client and firm information. A genuine interest in the legal industry and a willingness to learn and grow.
