If you excel in managing contractors, balancing multiple priorities, and ensuring high standards of quality and compliance, this role is for you.Role SummaryThe Facilities Manager is responsible for the overall management, maintenance, repair, and improvement of all North Star Community Credit Union facilities. This includes building systems, grounds, renovations, vendor management, and coordination of new construction projects.This role partners closely with branch managers across all communities served to ensure facilities consistently reflect a professional, safe, and welcoming environment.Essential Functions & ResponsibilitiesFacility Operations & MaintenanceOversee all building maintenance needs, including heating, cooling, plumbing, and electrical systems.Ensure all systems operate efficiently and safelyMaintain accurate records of building systems, equipment status, and maintenance historyEnsure compliance with all applicable building codes, fire codes, and regulatory requirementsIdentify and select contracted service providers as neededContractor & Project ManagementServe as primary liaison for all facility-related contractors and vendorsOversee maintenance, repair, renovations, and construction projectsMonitor contractor performance, responsiveness, and quality of workVerify completion of contracted work to credit union standardsCoordinate third-party services including HVAC, plumbing, electrical, landscaping, janitorial, carpet, elevator, and snow removalVendor Compliance & Contract OversightMonitor vendor compliance with all facility-related contractsReview, maintain, and manage service agreements and renewal termsEnsure vendors meet performance expectations and contractual obligationsBranch Collaboration & CommunicationPartner with branch managers to identify maintenance needs and coordinate repairsSchedule and conduct routine facility maintenance visitsEnsure timely communication regarding facility issues, repairs, and updatesDevelop and monitor an annual inspection and maintenance schedule for each location.Planning, Budgeting & Capital ProjectsDevelop and manage annual facilities budgetPlan, estimate, and schedule facility improvements and renovationsEvaluate feasibility of building modifications and minor construction projectsObtain and compare contractor bids and recommendationsSupport design and execution of facility upgrades and improvementsEmergency Response & Issue ResolutionRespond to facility emergencies promptly in person, by phone, or via text as neededProvide timely resolution and follow-up on facility-related issues or complaintsFacilities Standards & Grounds MaintenanceEnsure consistent cleanliness, safety, and curb appeal across all locationsCoordinate cleaning schedules and grounds maintenanceOversee landscaping and exterior facility upkeepMaintain adequate inventory of maintenance supplies and equipmentFleet & Equipment ManagementManage company vehicles including maintenance schedules and service needsCoordinate preventative maintenance with branch locationsEnsure vehicles remain safe, reliable, and compliant with service standardsOther DutiesPerform additional responsibilities as assigned to support operational needsPerformance ExpectationsDemonstrate consistent alignment with North Star Service Competencies and Service StandardsBuild strong, collaborative relationships with internal staff and external partnersMaintain compliance with all applicable federal, state, and regulatory requirementsEnsure facilities operate efficiently while staying within budgetIdentify opportunities for cost savings, process improvements, and operational efficiencyMaintain dependable attendance and punctualityKnowledge, Skills & ExperienceExperience5–8 years of related facilities management, building operations, or construction oversight experienceEducationOne or more of the following:Associate degree in a related field, ORTechnical certification or licensing, ORSpecialized facilities or trade training, OREquivalent hands-on experience through apprenticeship or progressive responsibilitySkills & CompetenciesStrong communication skills (written and verbal)Ability to manage multiple contractors and projects simultaneouslyStrong problem-solving and decision-making skillsHigh level of professionalism, discretion, and diplomacyAbility to build relationships and resolve conflict effectivelyPhysical RequirementsAbility to sit, stand, and walk for extended periodsFrequent use of hands for computer and equipment operationAbility to lift, carry, and move up to 100 poundsAbility to climb stairs, inspect facilities, and navigate mechanical areasWork EnvironmentProfessional office environmentsMechanical and building systems areasIndoor and outdoor facility environments across branch locations
