Project Control Specialist

Project Control Specialist Location – Anchorage, AK
The Project Controls Specialist supports cross-functional workflows throughout the project lifecycle, with primary responsibility for payroll, timekeeping, labor compliance, project controls, and related system processes. The position monitors and reconciles data across systems including but not limited to: HeavyJob, Costpoint, payroll and certified payroll platforms (LCP Tracker, ASH, etc.), coordinates issue resolution across departments, and supports established controls, reporting, and key monthly processes.
- Monitor payroll, timekeeping, labor-cost, and certified payroll workflows to support accurate and timely processing.
- Review payroll and labor exceptions, coordinate corrections across departments, and track issues through resolution.
- Validate and reconcile data between HeavyJob, payroll platforms, Costpoint, certified payroll systems, and related applications.
- Verify labor classifications, pay types, labor groups, labor locations, project assignments, wage determinations, and project labor categories are aligned across systems.
- Support time entry, payroll corrections, reclassifications, file uploads, certified payroll submissions, and related transactions as needed.
- Maintain system mappings, process controls, validation checks, reconciliations, workflow documentation, and exception logs.
- Monitor automated processes, reports, interfaces, and file transfers, and assist with testing system updates and workflow changes.
- Coordinate key monthly and project-related activities, including AP, AR, equipment billing, project setup, EAC uploads, and recurring reporting.
- Serve as a liaison among Operations, Payroll, Human Resources, Project Accounting, Project Controls, Shared Services, Compliance, and external vendors.
- Identify recurring errors, workflow gaps, and control issues; recommend improvements and escalate unresolved risks.
- Provide administrative and systems support based on business priorities, deadlines, and workload.
- Perform other duties as assigned.
Required (Minimum Necessary) Qualifications
- Education Requirements: Bachelor's degree in a related field, or an equivalent combination of education and relevant experience.
- Level of Experience Requirements: (5) years
Knowledge, Skills, Abilities, and Other Characteristics
- Microsoft 365 Software experience: Excel, WORD, PowerPoint, Outlook, Teams Heavy emphasis on higher-level Excel functionality
- Strong analytical, data-management, reconciliation and problem-solving skills.
- Strong communication skills and the ability to coordinate across departments without direct authority.
Preferred
- Experience with project-management, timekeeping, payroll, ERP or certified-payroll systems preferred; HeavyJob and Costpoint experience is beneficial.
Supervisory Responsibilities
- This position will not have supervisory responsibilities.
DOT Covered/Safety-Sensitive Role Requirements
- This position is not subject to federal requirements regarding Department of Transportation "safety-sensitive" functions.
Necessary Physical Requirements
- Ability to function in an office environment, including but not limited to:
- Standing or sitting for extended periods
- High usage of computers and all associated devices and attachments.
Work Environment
- Office or remote work environment as needed by the business.
- May have short term exposure to industrial constructions activities, remote construction environment.
- Ability to travel to remote construction locations and traverse construction environment
Schedule and Flexibility:
- General schedule in office is:
- Monday – Friday
- Minimum (40) hours per week
- Unorthodox hours due to project activities
- May see significant spikes in activities and hours related to seasonal construction and month-end closing processes.
Other Pertinent Work Details:
- Must be self-directed
- Must be detail and deadline oriented
- Ability to create and document new prosses and teach newly created processes
Additional Qualifying Factors
As a condition of employment, you will be required to pass a pre-employment drug screening and have acceptable background check results. If applicable to the contract, you must also obtain and maintain the appropriate clearance levels required and must also be able to obtain access to military installations.
