Job Overview Workplace Experience Coordinator – an in‑person role that delivers exceptional workplace experiences through engagement, hospitality‑focused relationship building, and facilities support. Provides comprehensive support to the Facilities Manager and serves as the primary point of contact for client employee inquiries, issues, and feedback. Responsibilities Client Engagement & Relationship Management Initial point of contact for all client employee inquiries, issues, troubleshooting, and feedback relating to workplace services. Build lasting relationships with client employees and guests through visible engagement. Welcome employees at reception or employee entrances for a minimum of four hours per day. Respond to all requests within one day, including personal follow‑up. Access & Security Management Manage employee ID card lifecycle, process requests, coordinate replacements, and maintain credential records. Process visitors through security protocols, conduct building orientations for new hires, identify potential risks, and ensure escalation to avoid privacy breaches or security incidents. Facilities & Maintenance Coordination Schedule preventive maintenance visits, coordinate with technicians, act as liaison between facilities management and building occupants. Perform routine walkthroughs to assess soft services delivery and ensure compliance with SLAs, policies, regulations, and performance metrics. Create, track, and close work orders via Corrigo; provide light facilities support (conference room setups, supply inventory, first‑line triage). Experience Services Coordination On‑site experience services contact; coordinate ambassador services, ensure service execution aligns with SLAs, brand image, and local laws. Collaborate with the account team across Facility Management, Engineering, Projects, and third‑party vendors. Administrative & Operational Excellence Perform general office administrative duties, meeting and event support (room prep, technology setup, catering coordination). Sort and distribute mail, packages, and internal deliveries; maintain organized distribution systems; provide support for soft services and data collection, analysis, and reporting. Event Support & Hospitality Services Assist with client events as needed, serve as training center concierge, anticipate needs and exceed client expectations. Continuous Improvement Engage in continuous improvement initiatives, leverage business intelligence, develop best practices, new tools, and process re‑engineering to improve service delivery efficiencies. Strive to exceed performance goals. Time Commitment 12 hours per week, or as directed by the client. Qualifications Bachelor’s degree or equivalent. 3–5 years of relevant experience in hospitality, facility/property management, operations, or commercial real‑estate knowledge. Exceptional customer service skills and professionalism with a passion for hospitality. Ability to manage multiple priorities and deliver results in a fast‑paced environment. Highly collaborative with strong interpersonal skills; track record of excellent internal and external customer service. Independent work style with strong prioritization and time‑management skills. Respectful, cooperative, accountable; ability to work with diverse teams. Excellent verbal and written communication skills. Excellent organizational skills and process management. Adaptability to new devices, technology, and applications. Proficiency in Microsoft Office Suite (Teams, Excel, PowerPoint, Word, OneNote, Outlook).
