Job Summary The Proposal Specialist is responsible for managing the development of high‑quality, compliant, client‑focused responses to requests for proposals (RFPs). This position requires strong knowledge of the RFP process, as well as an understanding of marketing and proposal best practices and strategies to create winning proposals that help to expand Galloway's regional and market reach. Ideal candidates will be experienced in guiding technical teams to respond to both municipal and private‑sector RFPs within the AEC industry. Responsibilities Manage and participate in the entire proposal process, from capture planning, kickoff, and strategy through final submittal. Prepare and assemble a visually appealing, high‑quality product, ensuring compliance, correct grammar, readability, completeness, and attractive presentation. Contribute to strategy discussions with technical teams. Prepare compliance matrices, proposal schedules, and work plans for proposal teams. Lead color reviews and incorporate feedback. Collaborate with subject matter experts and external partners on pursuits. Write non‑technical sections and lead strategic conversations for technical sections. Ensure quality by using Galloway proposal processes for reviews and rigorous quality controls. Coordinate and create interview presentations and content as needed. Participate in post‑RFP debrief meetings to capture new and updated content to refresh the database library. Prepare and maintain company content, project descriptions, and employee resumes. Use CRM to manage and report on proposal support and maintain the proposal resource database. Translate Galloway's vision, brand, and strategy into compelling written content. Track proposal pursuits, including wins/losses and time allocation. Stay current with industry standards and new developments. Support other marketing activities and special projects as needed. Requirements Demonstrate exceptional written communication skills. Possess clear understanding of the proposal response process. Effectively manage and meet multiple and concurrent deadlines. Apply advanced knowledge of Galloway's capabilities, policies, and services appropriately. Work well with teams in a highly collaborative environment. Take initiative and be highly motivated. Be willing to adjust work schedule as needed to meet demanding deadlines. Possess intermediate knowledge of Adobe InDesign and Acrobat, as well as the Microsoft Office suite. Graphic design experience a plus. Communicate in a timely and effective manner within the team members and outside contacts. Be detail‑oriented and highly organized. Education / Licensure Bachelor's degree in marketing, communication, English, journalism, or equivalent experience through career progression. Years of Experience Four to five years of experience in written marketing communications and the proposal response process, ideally in the AEC industry. Salary The estimated starting base salary for this role is $75,000–$95,000. Beyond Base Salary 100% employer‑paid benefits, setting a high standard in the industry.
