Key Responsibilities

Patient Intake & Front-Desk Flow

• Greet patients warmly upon arrival, manage the check-in and check-out process, and maintain an organized, calm reception area.
• Verify demographic information, scan government-issued IDs, and obtain updated health insurance cards.
• Collect patient copays, deductibles, and outstanding account balances at the time of service, issuing receipts and balancing daily end-of-day batches.

Scheduling & Communications

• Answer multi-line phone calls promptly and professionally, directing patient inquiries, taking accurate messages, and coordinating prescription refill or triage requests with clinical staff.
• Schedule routine wellness visits, chronic disease follow-ups, and urgent same-day appointments according to provider scheduling guidelines.
• Confirm upcoming patient visits and assist patients with portal registration and routine paperwork completion.

Coordination & Administrative Support

• Perform electronic insurance verification and real-time eligibility checks prior to appointments.
• Coordinate incoming and outgoing electronic faxes, scan records into the Electronic Medical Record (EMR) system, and index documents to proper patient charts.
• Collaborate closely with our medical assistants and providers to keep patient flow running smoothly and on schedule throughout clinic hours.
• Uphold strict patient confidentiality and HIPAA compliance at all times.

Required Qualifications

• Education: High school diploma or equivalent (associate’s degree or administrative medical assistant certification is a plus).
• Experience: Minimum of 1–2 years of medical office reception or healthcare customer service experience (outpatient primary care or internal medicine preferred).
• EMR Proficiency: Familiarity working with Electronic Medical Record (EMR) and practice management system - AthenaHealth.
• Insurance Knowledge: Working knowledge of health insurance plans, eligibility verification, HMO/PPO referral policies, and copay/coinsurance collection.
• Communication & Demeanor: Strong interpersonal skills, active listening, and a patient-first, compassionate attitude when assisting diverse patient populations.
• Reliability: Dependable punctuality and attention to detail in a steady outpatient setting.

Schedule & Location Perks

• Hours: Monday through Friday, 8:00 AM – 5:00 PM (or similar standard 40-hour business day shift; no weekend or holiday clinic hours).
• Location: Centrally located in North Bethesda, MD.

Compensation & Benefits

• Hourly Wage: $20.00 – $23.00/hour, based on relevant medical office experience.
