Campus Visit & Experience Coordinator

Position Purpose: The Campus Visit & Experience Coordinator coordinates theplanning, execution, and continuous improvement of AuroraUniversity's campus visit experience in support of undergraduate,graduate, and athletics recruitment efforts. This position overseesthe daily operation of the campus visit program while leading majorrecruitment and yield events, supervising the student worker team,and collaborating with faculty, staff, and campus partners todeliver exceptional, student centered visit experiences thatsupport institutional enrollment goals. Essential Job Functions: Campus Visit & Event Coordination Coordinate the daily campus visit operations, includingindividual and group visits, by coordinating pre- and post-visitcommunication, scheduling and facilitating faculty involvement, andensuring a high-quality, consistent, and personalized experiencealigned with prospective student interests and academic goals. Coordinate and continuously refine visit formats, agendas, andexperiences to meet the needs of undergraduate, graduate, transfer,and athletics-support visitors. Lead the planning, coordination, execution, and assessment ofmajor recruitment and yield events, including Open Houses, VisitDays, Accepted Student events, and specialized visit programs. Continuously evaluate the prospective student visitor journeyusing participant feedback, enrollment outcomes, and industry bestpractices to enhance the campus visit experience. Build and maintain collaborative partnerships with academicdepartments and campus partners to support coordinated, engaging,and student-centered visit experiences. Metrics, Reporting & Continuous Improvement Monitor and analyze visit and event metrics, includingattendance, engagement, and conversion outcomes. Share accountability for visit performance in collaborationwith enrollment staff and enrollment leadership. Utilize data, assessment, and participant feedback to recommendand implement improvements to campus visit operations andprogramming. Enrollment Operations & CRM Stewardship Collaborate with Enrollment Operations to optimizevisit-related workflows, communications, and data integrity withinSlate. Maintain visit forms, automated communications, tagging, andreporting processes. Identify opportunities to improve efficiency and enhance campusvisit operations. Manage front-line admission communications and visit-relatedinquiries, including oversight of the View email address on click.appcast.io inbox,ensuring timely, accurate, and professional responses in alignmentwith service standards. Ensure visit-related information is accurately maintainedwithin the CRM and assist with broader enrollment office operationsas needed. Marketing & Communications Collaboration Partner with Marketing & Communications to ensurevisit-related messaging, promotional materials, visitorcommunications, and event resources align with institutionalbranding and enrollment priorities. Provide feedback regarding visitor trends and experiences tosupport future marketing and communication initiatives. Student Worker Leadership Recruit, hire, train, schedule, supervise, and evaluate studentworkers, including the Spartan Ambassador team, to ensureexceptional customer service during campus tours, front deskoperations, recruitment events, and other admissioninitiatives. Develop ongoing training opportunities that strengthenpresentation skills, campus knowledge, customer service, andprofessionalism. Foster a welcoming and student-centered culture throughcoaching, mentoring, and regular performance feedback. Serve as backup for front desk operations as needed Perform other duties as assigned. Essential Job Requirements: Education: Bachelor’s Degree required. Experience: Experience in higher education admission, enrollment, studentservices, event coordination, or campus visit programming ispreferred. Experience working with CRM systems is preferred (Slatepreferred). Experience coordinating complex events, collaboratingacross multiple campus stakeholders, and supervising studentemployees is strongly preferred. Bilingual proficiency ispreferred, with Spanish-language proficiency strongly preferred. Skills: Excellent organizational and project management skills with theability to prioritize multiple responsibilities in a fast-pacedenvironment. Strong written and verbal communication skills. Ability to build collaborative relationships with faculty,staff, students, and campus partners. Ability to recruit, train, supervise, and mentor studentemployees. Strong customer service orientation and commitment to creatingexceptional visitor experiences. Sound judgment, initiative, and problem-solving skills. Ability to work independently while collaborating effectivelyacross departments. Proficiency with CRM systems and technology supportingenrollment operations (Slate preferred). Ability to analyze information and recommend improvements toprocesses and visitor experiences. Physical Requirements: Ability to work with a computer for long periods of theday.
