Position Overview
The Human Resources Coordinator provides general administrative and coordination support for the day-to-day operations of various Human Resources (HR) initiatives and projects with both local and global scope. This role supports a variety of HR-related tasks, programs, processes, and services, including meeting and event coordination, logistics, document preparation, file management, ordering supplies, purchase orders, and record maintenance.
The HR Coordinator must be able to manage multiple tasks with strict deadlines while staying within budget constraints and effectively utilizing available resources.
Work Schedule
- Candidate must be local and able to work in the office as needed 3 days per week , primarily Tuesday, Wednesday, and Thursday.
- Certain events may require the candidate to work across multiple days and hours, including starting earlier or staying later.
- The standard work schedule is approximately 37.5 hours per week ;
hours may exceed 37.5 hours during events as needed.
Responsibilities
- Provide general coordination support across HR Centers of Excellence (CoE).
- Provide project coordination support for various HR initiatives, projects, and related activities, including:
- Take Your Children to Work Day
- Benefits
- Inclusion & Diversity
- Learning & Development
- HR events
- Talent Acquisition activities
- Schedule and organize in-person, virtual, and hybrid meetings and events.
- Manage calendars, registrations, invitations, shared mailboxes, and related activities.
- Provide general program and event planning support.
- Coordinate event logistics, including:
- Scheduling and calendar invitations
- Reserving meeting space
- Catering
- Room setup and technology/AV
- Printing
- Ordering materials and supplies
- Coordinating participants, guest access, and facilitators
- Update and maintain documentation and files, including presentation handouts, job aids, manuals, and related materials.
- Proofread, edit, and copy documents and materials as needed.
- Manage purchase orders and accruals and track expenditures as needed.
- Maintain accurate records and create reports.
- Develop and maintain distribution lists and spreadsheets.
- Liaise with vendors and maintain consistent communication with internal and external stakeholders.
- Identify opportunities to increase efficiency and support process improvements where applicable.
- Organize, coordinate, and follow up on special projects as assigned.
Education
- Bachelor’s degree required.
Required Qualifications
- 1+ year of related work experience required.
- Proficiency in:
- Microsoft Outlook
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
Preferred Qualifications
- Experience working in a Human Resources environment.
- Experience working with senior leaders, management, and internal and external stakeholders.
