Summary The Senior Facilities Business Operations Manager supports the Director, Facilities Management in the administration, financial management, and strategic oversight of facilities business operations across a complex healthcare environment. This role is responsible for the development, execution, monitoring, and reporting of operating and capital budgets, contract administration, vendor performance management, and enterprise business processes that support facilities operations. The Senior Facilities Business Operations Manager provides leadership for facilities business functions, including contract management, procurement coordination, energy management, capital portfolio administration, financial analytics, and operational reporting. This position directly supervises assigned team members, including the Energy Manager and other business operations personnel, and serves as a key liaison with Finance, Supply Chain, Planning, Design & Construction, and Integrated Facilities Management partners. Other Information Bachelor's degree in Business Administration, Finance, Engineering, Facilities Management, Construction Management, Accounting, or related field. Minimum five to ten years of progressively responsible experience in facilities management, healthcare operations, finance, procurement, business operations, or related field. Minimum three years of leadership experience with direct supervisory responsibilities. Demonstrated experience managing operating budgets, capital portfolios, and financial reporting. Experience developing, negotiating, and administering vendor contracts and service agreements. Experience with procurement processes, purchase orders, and contract management systems. Advanced proficiency in Microsoft Excel, financial reporting tools, and business analytics platforms. Experience utilizing CMMS, enterprise resource planning systems, and data visualization tools. Experience in KPI development, management Strong analytical, organizational, communication, and problem-solving skills. Experience applying technology and developing dashboards to enhance accountability and aid in real time operational decisions. Preferred Job Qualifications Experience in healthcare facilities management or academic medical center operations. Master's degree in Business Administration, Finance, Engineering, Facilities Management, or related field. Experience managing outsourced Integrated Facilities Management contracts or similar complex facility contracts. Experience managing energy/utilities contracts, bills, and energy procurement. Knowledge of healthcare regulatory requirements and Environment of Care standards. Experience with capital planning, asset management, and deferred maintenance programs. Experience supporting energy management and sustainability initiatives. Professional certifications such as CHFM, CFM, FMP, CEM, PMP, or CPSM. Responsibilities Develops, administers, and monitors the Facilities Management operating budget, including forecasting, variance analysis, accrual management, and monthly financial reporting. Supports the planning, monitoring, and reporting of capital budgets and project cash flow in collaboration with Planning, Design & Construction and Finance. Maintains oversight of facilities capital portfolios, including project tracking, commitments, forecasts, and budget utilization. Leads the development, negotiation, administration, and performance management of vendor contracts, service agreements, and master service agreements (MSAs). Ensures contract compliance, service level adherence, and effective vendor performance management through routine business reviews and key performance indicators. Collaborates with Supply Chain, Legal, and Finance departments to facilitate procurement activities, contract renewals, and sourcing initiatives. Oversees purchase order processes, invoice reconciliation, check requests, and financial controls related to facilities operations. Develops and maintains facilities business intelligence tools, dashboards, and key performance indicators to support operational decision-making. Supervises assigned business operations personnel, including the Energy Manager and other administrative or analytical staff. Provides leadership and oversight for energy management initiatives, utility budgeting, sustainability reporting, and resource optimization efforts. Supports long-range financial planning, capital renewal strategies, deferred maintenance forecasting, and asset lifecycle planning. Maintains and improves facilities data systems, including CMMS, contract repositories, asset databases, and financial reporting platforms. Acts as the primary liaison between Facilities Management and Finance, Supply Chain, Planning, Design & Construction, and other administrative departments. Supports the development and implementation of standardized business processes, policies, and governance practices across Facilities Management. Provides regular executive reporting on budget performance, capital portfolio status, contract performance, energy utilization, and operational metrics. Participates in strategic initiatives, business planning efforts, and organizational performance improvement activities. Other duties as assigned. Rush is an equal opportunity employer.
