Acquisition & Operations Coordinator

About our Client: Our client is a U.S.-based real estate company that buys distressed properties, working directly with property owners and building its own deal pipeline. It is a small, owner-led team where the right person will have real influence on how internal systems and processes are built. Short Description: We are looking for an Acquisitions & Operations Coordinator to keep the deal pipeline full, organized and moving. In this role, you will research pre-foreclosure and tax-delinquent properties, build clean contact lists, run outreach in HubSpot, and handle the contracts and scheduling that turn a lead into a closed deal. You will work directly with the owners and support them across lead generation, CRM management, transaction support and marketing. Location : 100% Remote (LATAM only) ️ Language Requirements:

Remote work from anywhere in LATAM

Part-time start with a path to full-time

Direct work with the owners and real influence on how systems are built

Responsibilities : Monitor county websites on a set schedule for pre-foreclosure filings and tax-delinquent properties

Pull and filter property lists in PropStream based on target criteria

Skip trace owners to find current phone numbers and contact details

Add every new property and owner to the database with complete and accurate records

Enter and update contacts, properties and deals in HubSpot

Organize contacts into lists and enroll them in the right email and call sequences

Keep call lists clean and call-ready: no duplicates, no bad numbers, Do Not Call requests honored

Track the status of every lead so nothing falls through the cracks

Prepare purchase and sale contracts from approved templates and track e-signatures to completion

Keep signed documents filed and deal records up to date

Schedule seller appointments, property walkthroughs and buyer showings, and manage the owner’s calendar

Post properties for sale in local Facebook groups and other social channels, and route serious buyers into HubSpot

✅ Qualifications: Experience with HubSpot (strongly preferred)

Strong attention to detail, able to catch a wrong digit or a missing field

Organized and self-directed, able to run a daily routine without reminders

Comfortable learning new software quickly

Clear, professional writing for emails, posts and messages

Reliable and trustworthy with sensitive personal and financial information

Nice to have: experience with another CRM, real estate, title, lending or property management background, familiarity with PropStream, skip tracing or county record searches, and understanding of Do Not Call and telemarketing rules
