POSITION SUMMARY

The Client Relationship Specialist provides high-level service and operational support throughout the client relationship, from onboarding and account establishment through ongoing service, asset movement, and account maintenance. This position serves as a knowledgeable resource for clients, advisors, and team members while ensuring transactions, documentation, client data, and regulatory records are complete and accurate. The role requires strong relationship-building skills, financial services expertise, sound judgment, attention to detail, and the ability to lead workflows, resolve complex issues, train team members, and improve client service processes. Job Duties (including but not limited to): Lead the client onboarding process, including reviewing statements, determining account requirements, preparing documentation, opening and funding accounts, and coordinating with custodians and the client team. Serve as a primary point of contact for clients and their outside professionals, responding to service requests, resolving escalated concerns, and providing timely, professional follow-up. Process, review, and approve asset movement requests, including wires, ACHs, checks, journals, distributions, RMDs, gifting, and ACAT transfers, in accordance with established procedures and regulatory requirements. Perform quality-control reviews of account documentation, transactions, client records, and daily work to ensure accuracy, completeness, and proper document retention. Partner with Portfolio Managers and Investment Advisors to support client goals, cash needs, account strategies, life events, lending needs, estate information, and other complex planning matters. Serve as a subject matter expert and data steward for CRM, portfolio management, and custodial systems, ensuring client information, notes, workflows, reports, and account records remain accurate and current. Coordinate client meetings, including scheduling, invitations, meeting preparation, follow-up activities, and alignment with established client service standards. Provide operational guidance, training, and support to members of the client service team, including developing and managing the training plan for the Client Relationship Associate role. Maintain expertise in custodial services, alternative investments, private placements, and complex financial products, and coordinate with internal and external subject matter experts as needed. Monitor operational dashboards, support audits and regulatory reviews, manage client files, and identify opportunities to improve procedures, workflows, and the overall client experience. Support general office and client-facing needs, including answering phones, welcoming visitors, preparing meeting rooms, and assisting with team projects as needed. Qualifications: Minimum 2 years in client service, account operations, onboarding, or custodial service within an RIA, broker-dealer, or similar financial services environment High school diploma required; Associate’s or Bachelor’s degree is preferred (business, finance, economics, or related) Experience with Fidelity and Pershing a plus FACSC Certifications a plus Experience processing or supporting wires, journals, check requests, distributions, or similar cash movement activities with strong attention to controls Demonstrated ability to review documentation for completeness and accuracy, performing quality checks to minimize errors and rework. Energetic, self-starter team player with a desire to make a difference General understanding of the global financial markets Ability to communicate professionally with clients, advisors, and internal teams, including responding to inquiries clearly and promptly; uses sound judgment with sensitive transactions Proven ability to manage multiple priorities in a fast-paced environment while meeting deadlines and maintaining precision Intermediate-level user of Microsoft Office applications: Word, Excel & Outlook
