About the Associate, Event Production Position: Agency 21 (a21) is seeking an organized team player with a passion for the events and hospitality industry to join ourEvent Productionteam! Primary Responsibilities: Supportandlead end-to-end planning and production for assigned events frominitialconcept and ideation through onsite execution and post-event reconciliation Build andmaintainall event-related trackingmaterialsin Monday.com including timelines, vendor contacts, run of show assignments, and other necessary boards Coordinate spending, rentals, talent, and vendor costs in alignment with the Executive Producerowned budget; must have a strong understanding of the financial picture to make smart, real-time decisions without exceeding scope Lead communication withinternal departments,clients, sponsors, talent, andvendors Lead planning and production meetings for assigned projects, driving alignment across internal teams and external partners, helpingensurefollow-through on action items and cross-team alignment Build and manageevent productiontracking systems in Monday.com, includingmaintaining the overall projectworkspaceand therelatedboardssuchasbutnot limited toAP/AR boards,Event Schedule,Signage & Creative,Credentials&Wristbands,Meeting Agendas& Notes,RunofShowandProjectEvent Week, andProjectEvent Timeline Collaborate cross-functionally with Partnership,Partnership Fulfillment,Accounting, and Marketing departments Cultivate andmaintainstrong client and vendor relationships year-round,representinga21 with professionalism and care Coordinate pre-event production andlogisticsfor all assigned events including but not limitedto:vendorcommunication,rental and disposablecompilationand ordering, website, floorplan and layout development,entertainmentand talent coordination and research Execute onsite event setup and day-of operationsincluding:supporting setup crew coordination, checking in deliveries, managing load-in and load-out, signage, registration, and working with culinary on talent Assistin preparing andsubmittingall required city and state event permitsin accordance withproject deadlines and regulations Ensuretimelycompletion of all post-event deliverables including recap reports, vendor closeouts, and expense reconciliation support Skills + Qualifications Needed: 2+ years coordinating meetings and/or events (500+ guests is a plus) 2+ years managing client/vendor relationships. Office administration and operations experience Self-starter witha strong senseof initiative and accountability Excellent interpersonal skills witha high levelof professionalism Experience with project management principles and tools; familiarity with Monday.com, Canva, Allseatedor similar platforms preferred Proficiencyin Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) for tracking, reporting, and communication Flexibility to travel throughout the year (up to 20% including some nights and weekends) Must be able to lift, carry, and move up to50lbsand remain on feet for extended periods during live event production Education:Associates Degreerequired,Bachelor’sdegree is a plus About the a21 Family: Based in Miamiand New York City, a21 is a modern agency that specializes in Corporate Sponsorship Sales and Activation, Event Management, Strategic Marketing and Corporate Consulting.
