Purchasing Agent/Design Support

THE POSITION

We are seeking a Purchasing Agent/Design Support with experience in multifamily, senior living, commercial, renovation, and new construction projects. Reporting to the Senior Interior Designer, this role will coordinate procurement activities and assist with design documentation. This role bridges creative design support with purchasing and vendor coordination, ensuring that interior finishes, furniture, fixtures, and equipment (FF&E) are sourced accurately, on budget, and delivered on schedule for development and construction projects. The ideal candidate is organized, detail-oriented, and able to manage multiple projects while collaborating effectively with both design and construction teams. Experience in multifamily housing, senior living, or developer-led projects is strongly preferred. Annual: $33 - $37 per hour, depending on experience Location: Windsor, California Schedule: Monday - Friday

KEY RESPONSIBILITIES

• Source, price, and procure interior design materials, finishes, FF&E, appliances, accessories, and specialty items.
• Prepare purchase orders and coordinate vendor pricing, availability, lead times, and substitutions.
• Track orders, deliveries, backorders, damages, and project installations through completion.
• Maintain project budgets, purchasing logs, material schedules, and procurement documentation.
• Verify invoices, reconcile purchasing activity, and coordinate payment documentation with Accounting.
• Support designers with material selections, specifications, finish schedules, samples, presentation boards, and spec books.
• Coordinate project installations, deliveries, vendors, and related schedules.
• Maintain material libraries, samples, and digital design assets.
• Reconcile department credit card purchases, reimbursements, and mileage.
• Provide general project coordination and administrative support to the Interior Design department.

EXPERIENCE & SKILLS

• 2–5 years of experience in interior design support, purchasing, procurement, or construction/design project coordination.
• Experience with FF&E procurement, vendor coordination, installation scheduling, and budget tracking.
• Experience in development, construction, hospitality, multifamily, or commercial interiors preferred.
• Familiarity with interior finishes, materials, FF&E, and vendor sourcing.
• Strong organizational, communication, and project coordination skills with excellent attention to detail.
• Ability to manage multiple projects, budgets, deadlines, and vendor relationships simultaneously.
• Proficiency in Microsoft Office, particularly Excel.
• Experience with Programa, Studio Designer, QuickBooks, or similar procurement/project management software preferred.

WORK ENVIRONMENT

• Onsite in an office -based environment with occasional site visits, showrooms, and vendor meetings.
• May require lifting and handling material samples up to 25 pounds.
