Driver Recruitment & HR Administrative Coordinator
Position Overview
We are seeking a professional, detail-oriented, and highly organized Driver Recruitment & HR Administrative Coordinator to support the company’s human resources and daily administrative operations. This position will primarily focus on recruiting truck drivers, maintaining accurate driver records, coordinating onboarding procedures, and supporting HR documentation for drivers and selected office personnel.
The ideal candidate should have strong communication skills, excellent follow-up ability, attention to detail, and the ability to handle confidential employee information with professionalism. This role requires regular communication with drivers, applicants, supervisors, and office staff to ensure that recruitment, documentation, attendance records, and employee-related matters are handled accurately and efficiently.
Key Responsibilities
Driver Recruitment & Candidate Coordination
* Assist with the recruitment of truck drivers, including posting job advertisements, screening applicants, scheduling interviews, and following up with candidates throughout the hiring process.
* Communicate with driver applicants regarding job requirements, application status, required documentation, and onboarding steps.
* Support the recruitment process for selected office positions as needed.
* Maintain organized records of applicants, interview status, hiring progress, and recruitment follow-ups.
Employee Records & Documentation
* Collect, verify, and organize driver information, including employment documents, contact information, license information, required forms, and other company records.
* Maintain accurate and updated personnel files for drivers and certain office staff.
* Ensure all employee and driver documents are properly filed, tracked, and kept confidential.
* Assist with reviewing and updating employee information when changes occur.
Onboarding & Basic Training Support
* Assist with new driver onboarding, including document collection, company policy introduction, basic training coordination, and completion of required forms.
* Help communicate company rules, work expectations, attendance procedures, and basic compliance requirements to new drivers.
* Coordinate with supervisors and management to ensure new drivers and office employees complete the necessary onboarding steps.
Attendance, Work Records & Data Tracking
* Track and record driver attendance, work schedules, and weekly work-related information.
* Assist with organizing driver activity records for payroll, settlement review, and internal reporting purposes.
* Prepare and maintain weekly records, summaries, and data reports as required by management.
* Ensure attendance and work records are accurate, consistent, and submitted in a timely manner.
Resignation, Asset Return & Follow-Up
* Assist with resignation procedures for drivers and selected employees.
* Track the return of company property, equipment, documents, and other assigned assets.
* Maintain resignation records, follow-up notes, and related documentation.
* Assist with exit communication, record review, and internal reporting when needed.
Employee Relations & Administrative Support
* Assist in handling employee complaints, communication issues, driver-related concerns, and internal conflicts in a professional and timely manner.
* Support management in documenting disciplinary matters, policy violations, and employee-related incidents.
* Help improve internal HR procedures, company policies, employee training materials, and administrative documents.
* Provide general administrative support to HR, operations, and management teams as needed.
Qualifications
* Full-time availability is required.
* Candidates with HR, administrative, recruiting, logistics, transportation, or office support experience are preferred.
* Experience in driver recruitment, logistics, trucking, transportation, dispatch, or HR administration is a plus.
* Strong communication and interpersonal skills, with the ability to communicate professionally with drivers, applicants, office staff, and supervisors.
* Highly organized, detail-oriented, responsible, and able to manage multiple tasks at the same time.
* Strong follow-up skills and the ability to complete tasks accurately and on schedule.
* Basic computer skills, including Microsoft Office, Google Workspace, Excel, or Google Sheets.
* Ability to handle confidential information with professionalism and discretion.
* Bilingual ability in English and Chinese is preferred.
Preferred Skills
* Experience with CDL driver recruitment or driver document management.
* Familiarity with trucking or logistics company operations.
* Experience maintaining employee records, attendance records, or onboarding documents.
* Strong data entry, filing, and document organization skills.
* Ability to communicate clearly with both field employees and office personnel.
Employment Type

Compensation
Compensation will be based on experience and qualifications.
