Job Summary:

We are seeking a highly organized, reliable and detail-oriented Administrative Assistant to support our title and escrow operations at the Parker County Office. The ideal candidate will assist with administrative tasks related to real estate closings, ensuring the smooth operation of daily activities in a fast-paced office environment.

Key Responsibilities:

• Answer and direct phone calls, greet clients and visitors professionally.
• Prepare and review documents related to real estate transactions, including title commitments, closing disclosures, title documents and escrow instructions.
• Open and process new title orders; input and maintain file data in the title production software.
• Schedule closings and coordinate with lenders, realtors, buyers, and sellers.
• Maintain and organize physical and digital files in compliance with company and regulatory guidelines.
• Assist with post-closing tasks such as sending out final documents and issuing title policies.
• Handle incoming and outgoing mail, emails, and courier deliveries.
• Perform general clerical duties including data entry, scanning, copying, and filing.
• Support Escrow Officers and Title Agents with other administrative needs assigned.

Qualifications:

• High school diploma or equivalent required; associate degree or administrative certification preferred.
• 1+ years of experience in a title company, real estate office, legal office, or similar administrative role preferred.
• Proficiency in Microsoft Office Suite (Word, Outlook, Excel); familiarity with title software (e.g. Qualia) and flyer creation through Canva a plus.
• Strong attention to detail, organizational skills, and time management.
• Excellent verbal and written communication skills.
• Ability to work independently and in a team environment.
• Professional demeanor and customer service skills.
