Assistant Property Manager

Job Description Summary
The Assistant Property Manager at PRISM provides operational and administrative support to the Property Manager in the day-to-day management of assigned residential and/or commercial properties. This entry-level role is designed for individuals beginning their careers in property management who are eager to develop skills in tenant relations, leasing support, property administration, and operational coordination.
The Assistant Property Manager helps ensure properties operate smoothly, tenants receive responsive service, and administrative tasks related to leasing, financial tracking, and property operations are handled efficiently. The ideal candidate is organized, customer-service oriented, detail-focused, and motivated to grow within the property management and real estate industry.
RESPONSIBILITIES
Property Operations Support
- Assist the Property Manager with daily operational tasks to ensure smooth property management and tenant satisfaction.
- Coordinate with maintenance teams and vendors to address service requests and ensure timely completion of repairs.
- Help maintain organized property files including tenant records, vendor contracts, compliance documents, and operational reports.
Tenant Relations
- Serve as a point of contact for tenant inquiries, providing timely and professional communication.
- Assist with tenant move-ins, move-outs, and general tenant support.
- Help track and follow up on tenant service requests to ensure resolution and satisfaction.
Leasing and Administrative Support
- Assist with leasing activities including scheduling property tours, preparing lease documentation, and supporting lease renewals.
- Maintain accurate tenant and lease data in the property management system.
- Monitor and track lease expiration dates, renewal opportunities, and occupancy changes.
Financial and Reporting Assistance
- Support the Property Manager with rent tracking, invoice coordination, and basic financial documentation.
- Assist with preparation of monthly property reports including occupancy updates and operational summaries.
- Help track expenses and support budget monitoring for property operations.
Compliance and Documentation
- Ensure property records and lease documentation are properly maintained and compliant with company policies and regulations.
- Assist with preparing documents for inspections, audits, and compliance reviews.
- Maintain confidentiality and accuracy when handling tenant and financial information.
Team Collaboration
- Work closely with leasing agents, maintenance staff, accounting teams, and property leadership to support overall property performance.
- Assist in implementing operational improvements and administrative procedures that increase efficiency.
QUALIFICATIONS
Education
- Bachelor’s degree in Business Administration, Real Estate, Property Management, or a related field preferred.
Experience
- 3-5 years of experience in property management, leasing, administrative support, customer service, hospitality, or real estate.
- Internship or part-time experience in real estate or property management is a plus.
Knowledge, Skills & Abilities
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills with a strong customer-service orientation.
- Ability to manage multiple tasks and prioritize responsibilities effectively.
- Attention to detail and ability to maintain accurate records and documentation.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Familiarity with property management software (e.g., Yardi, AppFolio, RealPage) is a plus.
