Assistant Dispatcher

The Assistant Dispatcher provides support to the Dispatch Supervisor and delivery operations team by helping receive calls, relay information, update systems, and assist in monitoring daily deliveries. This role helps organize schedules, prepare routes, track assets, and maintain communication between drivers, warehouse personnel, and coordination teams. The Assistant Dispatcher's primary function is to assist the Dispatch Supervisor, so deliveries run smoothly, efficiently, and safely.

• Communication & Coordination

• Assist the Dispatch Supervisor in receiving and responding to non-emergency customer calls and internal communication.

• Support ongoing communication with drivers using phone or mapping software chat to relay updates and instructions as directed.

• Coordinate with the Loading team to help verify product readiness, loading accuracy, and asset assignment.

• Help the Dispatch Supervisor prepare daily schedules, confirm upcoming deliveries, and organize supporting documents.

Monitoring & Tracking:

• Assist with monitoring driver and vehicle activity through Samsara.

• Track delivery progress and update system notes as changes occur throughout the day.

• Maintain accurate data entry in Odoo, including delivery notes, call details, driver updates, and dispatch documentation.

• Ensure delivery photos submitted by drivers are properly attached to the correct Sales order in Odoo.

Problem-Solving & Optimization:

• Notify the Dispatch Supervisor of potential issues such as delays, routing conflicts, or asset availability concerns.

• Assist in gathering information needed for prioritizing deliveries based on customer needs and operational timing.

• Help support efficient routing by monitoring driver locations and reporting opportunities for optimization.

Customer Service:

• Provide customers with basic delivery updates, tracking links, and schedule confirmations when appropriate.

• Assist in responding to customer questions and help route more complex concerns to the Dispatch Supervisor.

• Ensure customers receive tracking links before their loads leave the yard and document communication as required.

Operations:

Assist in coordinating and providing break and lunch coverage for front desk staff to ensure uninterrupted operations.

Other Duties:

• Perform other duties as assigned by the dispatcher or management to support daily operations.

Job Requirements:

• High school diploma or equivalent.

• Prior experience in dispatching, logistics, transportation, or administrative support preferred.

• Strong communication, organization, and multitasking abilities.

• Basic understanding of shipping, receiving, or delivery operations.

• Ability to follow instruction, support the Dispatch Supervisor, and adapt to a fast-paced workflow.

• Proficiency in Microsoft Office; experience with Odoo, Samsara, or similar systems is a plus.

• Strong attention to detail and willingness to learn dispatch procedures.
