Admissions Manager Location: West Palm Beach, FL Job Type: Full-Time, Onsite Schedule: Includes On-Call Responsibilities Compensation: $75k-90k About the Opportunity A growing behavioral health organization is seeking an experienced Admissions Manager to lead and oversee the admissions department at our West Palm Beach location. This leadership role is responsible for managing the admissions process from initial inquiry through admission, ensuring exceptional customer service, operational efficiency, compliance, and a seamless experience for patients, families, and referral partners. This is a fully onsite position. Remote work is not available. Key Responsibilities Leadership & Team Management Supervise, mentor, train, and support Admissions Coordinators and admissions staff. Manage daily workflow, task assignments, scheduling, and on-call coverage. Monitor team performance and provide coaching to ensure departmental goals are achieved. Foster a positive, collaborative, and compliant work environment. Admissions Operations Oversee all aspects of the admissions process, including inquiry calls, pre-admission screenings, intake assessments, and admissions coordination. Ensure all clinical, financial, and administrative criteria are met prior to admission. Coordinate admissions across inpatient, partial hospitalization (PHP), intensive outpatient (IOP), and outpatient programs. Maintain efficient management of referrals, scheduling, and waitlists. Communication & Customer Service Serve as a primary point of contact for patients, families, referral sources, healthcare providers, and other stakeholders. Provide accurate information regarding programs, services, admissions requirements, and treatment options. Ensure respectful, compassionate, and client-centered interactions at all times. Insurance & Financial Coordination Oversee collection and verification of demographic, financial, and insurance information. Collaborate with business office and billing teams regarding coverage verification and payment arrangements. Ensure accurate documentation and timely communication regarding financial obligations. Compliance & Documentation Ensure completion, accuracy, and transmission of all required admissions documentation, consents, and records. Maintain inquiry logs, census reports, admissions statistics, and other departmental reporting requirements. Adhere to HIPAA, confidentiality standards, organizational policies, and applicable regulatory requirements. Promote non-discriminatory admissions practices and compliance with all relevant standards. Reporting & Process Improvement Monitor admissions metrics, trends, and departmental performance indicators. Support data tracking, reporting initiatives, and continuous process improvement efforts. Participate in meetings, trainings, and organizational initiatives as required. Qualifications Required Previous admissions experience within behavioral health, healthcare, substance use treatment, mental health, or a related healthcare setting. Experience leading or supervising admissions, intake, patient access, or customer service teams. Strong understanding of insurance verification, benefits coordination, and admissions workflows. Excellent communication, organizational, and interpersonal skills. Ability to multitask and thrive in a fast-paced environment. Proficiency with electronic health records (EHRs), admissions systems, and Microsoft Office applications. Preferred Experience in behavioral health, addiction treatment, or mental health services. Knowledge of clinical admissions criteria and healthcare compliance requirements. Additional Requirements Must be able to successfully pass a Level II Background Check.
