Position Title:                    Medical Assistant and Procedural Medical Assistant
Location: New Jersey Pediatric Neuroscience Institute (NJPNI) Hazlet Office

Position Summary
The Medical Assistant (MA) plays a vital role in supporting patient care delivery and clinic operations within NJPNI. This position combines general medical assistant responsibilities with procedural support, including preparing patients for office and procedural visits, assisting providers with clinical workflows, performing assigned testing and procedures, accurately documenting patient information, coordinating referrals and testing results, and ensuring examination rooms and equipment are properly maintained. The MA serves as a key point of contact for patients and families, helping to create a compassionate, efficient, and organized care environment. This role requires strong attention to detail, excellent communication skills, and the ability to function effectively in a fast-paced, team-oriented clinical setting.
 

Key Responsibilities
 
·         Perform assigned procedures and testing, including neurocognitive/WRAT testing, autonomic testing, genetic testing, Genomind testing, FRAT testing, ECGs, and other procedures as assigned.
·         Open and prepare all procedural notes and ensure testing results are scanned, routed, and available in the patient’s chart.
·         Initiate internal referrals where appropriate and communicate with genetics companies as needed.
·         Follow established protocols related to mental health screening and intervention.
·         Verify, safeguard, and secure patient information by interviewing patients, recording medical history, and confirming the purpose of the visit.
·         Obtain messages from the answering service each morning, return patient calls, and notify physicians of relevant messages.
·         Check examination rooms each morning for patient safety and comfort concerns and address issues appropriately.
·         Clean examination rooms between patients and ensure rooms are fully stocked with medical supplies; notify the clinical manager or Administration when supplies need to be replenished.
·         Open and complete detailed preparation of physician office notes for the day.
·         Prepare patients for examination by performing preliminary physical measurements, including blood pressure, weight, and temperature, and report relevant patient history.
·         Communicate with patients and families as directed and requested by physicians.
·         Coordinate and review physician and clinical staff schedules for the upcoming two weeks at the end of each week and notify appropriate staff of scheduling errors.
·         Obtain primary care physician notes, imaging studies and reports, and other relevant documentation prior to the patient’s visit.
·         Answer patient phone calls regarding treatment and coordination of care, consulting a physician, PA, or APN when additional clinical information is required.
·         Assist with scheduling as needed, including insurance arrangements, verifying appointment times with patients, and preparing charts, pre-admission forms, and consent forms.
·         Provide clinical support for all physicians, PAs, and APNs as assigned.
·         Provide cross-coverage at front desk reception as needed.
·         Maintain procedural and clinical equipment in good working order by following operating instructions, troubleshooting issues, maintaining supplies, performing preventive maintenance, and notifying management when service or replacement is needed.
·         Maintain a safe, secure, and healthy work environment by following applicable local, state, and federal standards and protocols.
·         Comply with established policies and procedures, including patient confidentiality and HIPAA requirements.
·         Perform other duties as assigned.
 
Additional Notes

·         Monday, Tuesday, Thursday, Friday position

·         Evening or weekend hours may be required depending on practice needs.

·         Knowledge of medical terminology and clinical workflows preferred

·         Knowledge of Electronic Medical Records (EMR) preferred

·         Ability to commute to other NJPNI offices as requested. 

·         Bilingual in Spanish preferred.

Qualifications
·         High school diploma or equivalent
·         Experience healthcare and private practice settings preferred.

Work Environment & Physical Requirements

• Standard office environment within a medical practice.
• Frequent use of computers and telephones.
• Occasional lifting of files, office supplies, or equipment (up to 20 lbs).
