REPORTING RELATIONSHIP: Assistant Superintendent, Teaching & Learning EDUCATION AND EXPERIENCE:
The primary responsibilities for this position include working closely with the Assistant Directors of Student Enrollment and Research Services, to coordinate the planning and implementation of all Michigan School Data System (MSDS) submissions for state aid funding, as well as meeting other required state-aid reporting deadlines.
This includes all 3 General Collections (Fall, Spring, End of Year), Early Childhood, Student Record Maintenance, Section 25e Requests, Days & Clock Hours, UIC Resolving, Teacher Student Data Link (TSDL), Graduate and Dropout Database (GAD), and School Infrastructure Database (SID) reporting.
In addition, this position will provide training twice a year for Fall and Spring Count to everyone involved in the process. This position will also support the department in regard to enrollment, record keeping of student files, accountability for state testing, and other duties as assigned. This also includes regular review of mischooldata.org website for updates and school reporting.
The Pupil Accounting Coordinator will also provide technical support and training to office staff throughout the district, teachers and administrators for timely and accurate reporting of student enrollment and student learning.
ESSENTIAL DUTIES:
Read, write and comprehend basic instructions, short correspondence, and memos. Effectively present information in one on one and small group situations to staff, parents, students and administrators.
Communicate clearly and concisely both orally and in writing.
MATHEMATICAL SKILLS:
Add, subtract, and multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY:
Apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Deal with problems involving a few concrete variables in standardized situations.
OTHER SKILLS and ABILITIES:
Work with parents and children of diverse cultural backgrounds.
Develop effective working relationships with students, staff, and the school community. Perform duties with awareness of all district requirements and Board of Education policies.

ESSENTIAL DUTIES:
- Facilitates entry and submission of state & federal report - Michigan Students Data System (MSDS) and Civil Rights Data Collection (CRDC).
- Ensure all pupil accounting and reporting deadlines are met and submitted according to State and auditor requirements.
- Ensure Count Audit documentation is submitted Fall and Spring to county auditors.
- Ensure Fall Graduation and Dropout (GAD) audit is completed through coordination with each high school to capture each and every graduate post summer school.
- Coordinate and support school-based staff in accurate pupil accounting practices, including the establishment of deadlines and direct follow up with staff as needed.
- Prepare and deliver professional learning for all pupil accounting staff, District and school based.
- Work with the District Calendar Committee to ensure all State days and clock hour requirements are met with proposed and adopted calendars and submit to auditors by established deadlines.
- Ensure a clear and effective process is followed for Dual Enrollment, maintaining a coordinated, accurate record of all classes on schedule for each count.
- Track and maintain accurate counts for Graduation Alliance through PowerSchool and Student Record Maintenance (SRM) monthly, verifying monthly invoice matches enrollment.
- Maintain membership in and attend MPAAA conferences and training for Pupil Accounting Specialists
- Collect Personal Curriculum data from school counselors and ensure uploading into PowerSchool at End of Year.
- Collect Seclusion and Restraint data from school based staff and ensure uploading into PowerSchool at designated times.
- Maintain accurate records for AAPS students attending Washtenaw Educational Options Consortium (WEOC) programs.
- Contribute as requested to all enrollment procedures and reporting; this includes providing professional training and staff development to office professionals, administrators and staff as needed to ensure
compliance and accuracy of data reporting ADDITIONAL RESPONSIBILITIES: - Information technology fluency and willingness to learn new platforms including but not limited to help desk software, dataset files, customized reports, graphs and pivot tables

- Provide Data analysis and printed reports (with graphic and summarized analysis) reflecting enrollment trends and projections and student achievement levels
