Counseling and Transfer Center Program Specialist

Position Description Under the general supervision of the Dean of Student Services, the Counseling and Transfer Center Program Specialist plays a vital role in creating a welcoming, inclusive, and supportive environment for all students. This position provides specialized program support services to assist students, staff, and faculty with Counseling and Transfer Center needs. The Counseling and Transfer Center Program Specialist will assist the Transfer Center Program Coordinator and general counseling faculty through operational support to ensure smooth day-to-day operations in Counseling and in the Transfer Center. This position will track and maintain data for federal, state, and district reports. The ideal candidate is organized, compassionate, equity-minded, and committed to removing barriers to student success. Promote sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds within a community college environment. This position will be in Student Services. This is a 12 month, 40-hour per week position. Duties and Responsibilities Assist in the coordination and operation of counseling and the Transfer Center. Perform a variety of intake services including assessing initial needs and scheduling appointments. Ensure equitable access to program services, resources, equipment, and supplies in alignment with program goals and student needs. Serve as a welcoming and knowledgeable point of contact for students, staff, and community members by providing accurate information and responsive customer service. Perform complex office duties requiring typing, editing, or proofreading of materials, such as correspondence, brochures, flyers, newsletters and statistical data; distribute information and follow-up as necessary. Maintain confidentiality and update student files in accordance with FERPA regulations. Maintain and prepare reports in an accurate and timely fashion in compliance with federal and state requirements. Assist in the coordination with respective departments for counseling and transfer related activities. Assist in the coordination and communication with universities and college partners to ensure appropriate transfer connections for students. Assist with and participate in orientation and other program events. Maintain and track departmental files. Assist students as needed with college applications and the use of equipment, technology and materials specific to the counseling and transfer programs. Order and maintain program supplies. Perform related duties as assigned. Qualifications Education and Experience: Any combination of education and experience equivalent to one (1) year college coursework, and three (3) years responsible experience in office support, including public contact and record keeping duties. Knowledge of: Student services programs and practices, including counseling, transfer, and educational planning support; public service reception and intake procedures; customer service techniques for assisting a diverse student population; modern office practices, procedures, and equipment; computer systems, databases, and software applications; recordkeeping and filing methods; applicable laws, regulations, and confidentiality requirements; and effective oral and written communication skills. Ability To Learn program organization, policies and services; Learn specialized skills and knowledge required in the program; Perform office work Learn to interpret and apply District, state and federal rules, policies and laws; operate a variety of office equipment and to learn to operate program equipment; plan and organize work; Understand and follow oral and written instructions. Meet schedules and deadlines. Establish and maintain positive and cooperative working relationships with others. Physical Functions (with Or Without Reasonable Accommodations) Ability to communicate effectively both orally and in writing. Ability to read and review information. Ability to move through assigned work areas. Ability to lift, carry, push, and pull office supplies, materials, and equipment weighing up to 15 pounds. Professional Characteristics Establish and maintain positive and cooperative working relationships with others. Use independent judgement and refer when appropriate, following established departmental policy. Must be able to respond to student needs and refer when appropriate. Must be able to stay on-task with frequent interruptions. Working Conditions Primarily office and computer-based work environment. Serve as student-facing, front-desk reception for a busy Counseling and Transfer Center, providing assistance to students, staff, faculty, and the public. Regular interaction with students, faculty, staff, community members, and representatives from educational institutions and partner organizations. May experience increased workload and time-sensitive demands during peak registration, enrollment, transfer, and academic planning periods. Work in a fast-paced environment with frequent interruptions, multiple priorities, and ongoing student contact.
