Project Coordinator / Executive Assistant

Position Summary Beacon Hill is seeking a highly polished and proactive Project Coordinator / Executive Assistant to support a senior executive within a fast-paced professional services environment. This role is responsible for complex scheduling, executive support, project coordination, interview management, travel arrangements, and ensuring seamless day-to-day operations.

Pay Rate: $35.00 - $45.67/hour

Schedule: 8:30 AM - 5:30 PM

Work Arrangement: Hybrid

Key Responsibilities

• Provide high-level administrative support to senior executives and professionals
• Manage complex calendars, scheduling, and meeting coordination across multiple stakeholders
• Coordinate executive interviews and candidate scheduling throughout the search process
• Arrange and manage travel itineraries, accommodations, and related logistics
• Prepare presentations, reports, correspondence, and meeting materials
• Track and manage project timelines, deliverables, and follow-up activities
• Serve as a liaison between executives, clients, candidates, and internal teams
• Handle sensitive and confidential information with discretion
• Support special projects and strategic initiatives as assigned
• Ensure deadlines and priorities are met in a fast-paced environment

Qualifications

• 5+ years of Executive Assistant, Project Coordinator, Executive Coordinator, or Senior Administrative support experience
• Professional services, executive search, consulting or similar industry experience required
• Strong tenure and demonstrated career stability
• Advanced calendar management and scheduling experience
• Excellent written and verbal communication skills
• Strong organizational, prioritization, and project coordination abilities
• Ability to manage multiple priorities in a deadline-driven environment
• High level of professionalism, discretion, and attention to detail
