Job Summary
The transportation dispatcher dispatches department driving needs via two-way radio communication and written instruction to drivers. The dispatcher is responsible for ensuring all routes and trips are covered in an accurate fashion. The dispatcher receives and processes field trip requests. This position requires the production of reports for supervisory staff to review. The dispatcher will also be assigned training duties for both new drivers and retraining of current drivers. Finally, the dispatcher often performs clerical and receptionist duties. Attendance, physical presence, and timeliness are required and are essential functions of this position.


Essential Functions

• Ensures all routes and field trips are covered in an accurate manner
• Performs clerical and receptionist duties such as typing, mail processing, record keeping,
• appointment making, and question answering
• Solves workflow coverage problems when they arise
• Maintains and updates accurate list of drivers available for field trip assignment
• The dispatcher receives requests, computes hours billed, and assigns drivers to field trips
• Maintains accurate and updated copies of driver route sheets
• Appropriately uses two-way radio to communicate with drivers during driving times
• Completes all required forms and paperwork
• Drive various sizes, brands, and types of school buses
• Performs driver evaluations
• Trains new drivers
• Teaches re-certification classes
• Assign drivers to assist on a regular or irregular basis when conflicts occur (i.e. planning days, early dismissal days for junior high and late-start for high school).
• Maintain continuity of the office when supervisors are absent

Required Knowledge and Skills

• Possess basic computer skills (with word processing ability at forty words per minute)
• Use office equipment appropriately (telephones, two-way radio, file cabinets)
• Understand transportation (routing, stops, special education and securement requirements)
• Be able to respond to questions quickly and with accuracy
• Possess good oral and written communication skills for communication with students, parents, bus drivers, supervisory staff, and school administrators.
• Possess good organization skills
• Be able to fairly allocate extra opportunities for work
• Be able to remain calm in stressful situations

Required Education and Qualifications
High school diploma or equivalent
Possess a Commercial Driver's License with School Bus and Passenger endorsements

Successful candidate will either be a certified trainer or must be willing to obtain training certification within one year of accepting the position.


Required Prior Experience
One (1) year of school bus driving experience.


Assigned Decision Making

• Make assignments regarding substitute route drivers and field trips within well-defined department and district policies and procedures
• Change processes or create new process to improve workflow and accuracy

Interactions with Others
The dispatcher has frequent interactions with drivers and staff: some interactions with parents, students, administrators, and teachers. Dispatcher will assist driver applicants with information about the job. Dispatcher will have School Bus Driver training responsibilities.

Working Environment

• The dispatch desk is a fast-paced position that can often be stressful.
• The dispatcher will be called at home during the evening to staff routes.

• While performing the duties of this job, the employee is required to speak and/or hear. Frequently required to stand, walk, reach with hands and arms and stoop, kneel, and crouch. Occasionally required to use hands to handle or feel and must occasionally climb or balance.
• Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, and depth perception.
• Must be able to sit for long periods of time
• Must be able to lift and/or move up to 50lb.
• The dispatcher must be able to pass the annual CDL physical and physical assessment.
