PEIMS Specialist

Ensures the accuracy, integrity, and compliant collection, processing, and transmission of student, staff, and financial data to state and federal education agencies through PEIMS, TSDS, and other reporting collections. Develops, implements, and maintains the district-wide student information system (SIS), including enforcement of role-based security access to student information. Implement a student data system for the District. Plan, implement, and maintain a comprehensive attendance program for the district, including coordination of district attendance reports as required by Texas Education Agency. Follow-up and maintain data on at risk students and dropouts.

Bachelor's Degree preferred. Teacher Certification preferred. Ability to organize people, meetings, and events. Ability to communicate verbally and in writing with school administrators, teachers, students, parents, and companies that provide and support software applications. Excellent oral and written communications skills. Ability to perform detailed work accurately. Detailed knowledge of TEA requirements for PEIMS and attendance accounting. Mastery of the MS Office suite, web browsers, and general computer usage. Working knowledge of databases, query and reporting methodologies, and the automated exchange of data between systems. Minimum of 3 years of experience working with student databases and PEIMS.

PEIMS/TSDS Data Coordination & Submission: Develop and maintain the annual PEIMS, TSDS, and state reporting calendar to ensure timely completion of all required submissions. Coordinate the collection, integration, and formatting of all student and staff data required for PEIMS/TSDS submission according to PEIMS Data Standards, working cooperatively with campus, business office, and human resources staff and, under the oversight of the Director of Accountability, PEIMS & SIS, to meet local, regional, state, and federal deadlines. Run edits, reports, and verification checks on data to ensure accuracy, distributing edits and reports to appropriate staff for analysis, verification, and timely correction. Facilitate regular district and campus data validation meetings to review PEIMS edits, exceptions, and compliance concerns. Conduct periodic internal audits of campus PEIMS processes and documentation to ensure compliance with TEA requirements. Submit complete and accurate PEIMS/TSDS data to TEA in the prescribed format for processing; verify data submitted and submit corrections in a timely manner. Serve as Data Steward for the Texas Student Data System. Oversee and provide training, set-up, and assistance with TEA applications including PET, Unique ID, TEAL, TREx, and TSDS.

Reporting & Data Analysis: Generate custom reports as required, partnering closely with technical staff to ensure the accuracy and appropriateness of reports and evaluation of student performance data. Perform data analysis as required for audit reports. Assist in the completion of all federal, state, and local reporting requests, including but not limited to the Federal Office of Civil Rights, Texas Education Agency, and San Marcos CISD, including providing enrollment and attendance data as requested. Follow reporting procedures for attendance and dropout prevention plans, implementing federal, state, and local policy in these areas and keeping current with TEA/PEIMS regulations and the SAAH.

Professional Development & Training Support: Attend PEIMS/TSDS-related training and stay current on PEIMS-related information from the ESC and TEA, including updates to PEIMS Data Standards and the Student Attendance Accounting Handbook (SAAH), and disseminate to appropriate staff in a timely manner. Conduct training for campus and district administrators on discipline, special programs, demographics, leavers, dropouts, and college, career, and military readiness (CCMR) reporting through PEIMS, and on the effect of coding on accountability reporting and funding. Provide professional development in PEIMS processing requirements and the use of administrative and student data systems, updating procedure manuals and providing training and support to campus and department staff responsible for processing PEIMS/TSDS data, including those in special populations, health services, business, and human resources. Coordinate implementation of annual PEIMS Data Standards updates, communicating changes in procedures and expectations to district staff.

Student Information System (SIS) Management and Support: Monitor and maintain the Student Information System (SIS) and related applications such OnData Suite and proactively adjust procedures for processing PEIMS/TSDS data as needed. Establish staff training resources and procedures, coordinate training of new SIS users, and develop user manuals and system documentation. Provide first-line support in the proper use of the SIS and troubleshoot reported issues, including training and support to end-users on how to access and interpret SIS reports.

Records Management: Manage all student records, ensuring compliance with the records retention schedule established by the Texas State Library and Archives Commission. Comply with open records requests.
