Alumni Engagement Senior Specialist

Job Details Position code: 7864 Department/Administration: Office of Advancement Position: Staff, Non-Exempt (12 months), Full-time (40 Hours) Salary range: $20.00 – $26.19 Hiring range: near or at the minimum of the classification, commensurate with candidate’s education, experience, skills, and training Introductory period: Six (6) months Available immediately Posting date: April 28, 2026 Application deadline: Open until filled, apply immediately Definition of Classification The Alumni Engagement Senior Specialist supports and advances alumni and community engagement through outreach, communications, event coordination, and operational support. The role strengthens relationships between the University, its alumni, students, and friends by delivering meaningful, creative, and well‑coordinated communication and engagement opportunities. Duties and Responsibilities Assist in planning, marketing, coordinating, and executing Alumni Reunion Weekend and Homecoming and Family Weekend events in collaboration with alumni volunteers, Annual Giving, and Events Services. Assist in planning, marketing, coordinating, and executing regional alumni and community engagement events with alumni volunteers, Annual Giving, Major Gifts, and Events Services teams. Recruit, train, coordinate, and maintain communication with alumni volunteers to ensure successful event execution. Build, edit, process, and maintain event registration forms and records using Slate, Stripo, and Microsoft Office. Support the Alumni Association by helping plan and participate in the annual retreat, meetings, and selected committee meetings; serve as staff liaison for an assigned Alumni Board of Directors committee. Create and update landing pages for Alumni Engagement websites using current IT systems. Monitor website content for quality control and update pages as needed. Use collaborative design tools (Canva, Stripo, Slate) to create and edit collateral and marketing materials. Assist in execution of meetings and events: room reservations, catering, audiovisual, vendor management, set‑up, and clean‑up. Prepare materials for events, including name tags, check‑in sheets, decorations, and promotional materials. Provide exceptional communication support, responding to internal and external requests and prioritizing tasks. Maintain confidentiality of sensitive data and adhere to safety and housekeeping policies. Perform other duties as required or assigned. Qualification Guidelines Experience/Training/Education High school diploma or equivalent with two years of additional coursework in related fields such as business, secretarial, computer software/word processing, and spreadsheets. Three years of administrative support, customer service, or related experience. Knowledge of administrative procedures, word processing, spreadsheets, and database software. Knowledge and Skills Working knowledge of higher education institutions. Strong administrative procedures knowledge. Proficiency in English grammar, spelling, and punctuation. Excellent verbal and written communication skills. Excellent organizational skills, detail oriented and highly accurate. Ability to prioritize tasks, meet deadlines, and work independently in a fast‑paced environment. Effective listening and interpersonal skills. High motivation, tact, and diplomacy. Basic record‑keeping and retention knowledge. Basic mathematics and research skills. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint). Ability to operate standard office equipment. Knowledge of applicable federal and state laws and regulations. Ability to work cooperatively with coworkers, supervisors, and on‑ and off‑campus contacts. Ability to learn new technology. Capability to recommend appropriate courses of action within established guidelines. Skill to foster strong relationships and align internal and external resources. Independent judgment and initiative. Deliver excellent customer service. Ability to work with confidential information. Competency in interacting with a culturally and ethnically diverse population. Physical Requirements / Working Conditions Standard office and field setting. Duties primarily performed in an office environment while seated at a desk or computer, or in meetings. Requires minimal environmental controls. Must be willing and able to work evenings, weekends, and attend university events outside normal business hours. Physical Demands Regular sitting for long periods; walking short distances; climbing stairs; traveling to various locations; using hands and fingers to operate electronic keyboards or office machines; reaching with hands and arms; stooping or kneeling to file; speaking clearly; seeing to read fine print; hearing and understanding voices; lifting, carrying, or moving objects up to 10 pounds. Salary offers based on candidate qualifications; the full range is the Full Pay Range. Placement within the Hiring Range determined by internal equity and relevant qualifications. Driver’s License Check Possession of a valid Driver’s License is required for certain positions. Employees may participate in the DMV Government Employer Pull Notice Program. Physical and Psychological Exams For certain positions in Public Safety, Facilities, Athletics, and IT Services, employment is contingent upon passing a pre‑employment physical exam, with the ability to lift over 50 lbs.
