Job Title: Golf Shop ReceiverDepartment: Golf OperationsReports To: Golf Shop ManagerPosition SummaryThe Golf Shop Receiver is responsible for the accurate receiving, verification, processing, pricing, organization, and distribution of merchandise for the Club's golf retail operations. This position ensures incoming merchandise is accurately matched against purchase orders and packing slips, properly entered into inventory systems, labeled and prepared for sale, and distributed to the appropriate retail locations.Reporting to the Golf Retail Shop Manager, the Golf Shop Receiver supports inventory accuracy and efficient retail operations by maintaining organized receiving records, processing returns and special orders, coordinating shipping, and ensuring merchandise moves efficiently from receipt through retail presentation. This position requires exceptional attention to detail, organization, accuracy, and the ability to effectively coordinate with Retail, Purchasing, Accounting, vendors, and other Club departments.Merchandise Receiving & VerificationReceive and process incoming merchandise deliveries for the Club's golf retail operations.Verify all incoming deliveries against applicable packing slips and purchase orders.Confirm merchandise quantities, styles, sizes, colors, types, and other order specifications.Inspect incoming merchandise for damage, defects, shortages, or other discrepancies.Compare packing slips with purchase orders to ensure items received match items ordered.Verify invoiced costs against quoted costs reflected on applicable purchase orders.Identify and document merchandise discrepancies.Promptly communicate shortages, damages, incorrect merchandise, pricing discrepancies, or other receiving concerns to the Golf Retail Shop Manager or appropriate buyer.Maintain merchandise in an organized and secure manner throughout the receiving process.Ensure merchandise is processed accurately and efficiently upon arrival.Inventory Processing & System EntryAccurately enter newly received merchandise into the Club's applicable inventory system.Verify product information prior to completing inventory entries.Generate appropriate SKU labels for merchandise.Attach SKU, pricing, and other required labels accurately to merchandise.Ensure merchandise information is correctly entered by style, size, color, quantity, type, and other applicable attributes.Review inventory entries for accuracy and correct discrepancies as necessary.Maintain accurate records of merchandise received and processed.Assist with researching inventory discrepancies related to receiving.Support physical inventory counts and inventory-control procedures as requested.Communicate system or inventory concerns to the Golf Retail Shop Manager.Merchandise PricingDetermine and apply appropriate suggested retail and member pricing according to established retail procedures.Verify pricing information before merchandise is released for sale.Ensure merchandise is accurately and consistently labeled.Communicate pricing discrepancies or questions to the Golf Retail Shop Manager.Update pricing information as directed.Maintain accuracy when processing merchandise subject to special pricing or other retail requirements.Ensure applicable pricing corresponds with inventory-system information.Merchandise Preparation & DistributionPrepare received merchandise for retail presentation and distribution.Unpack, steam, fold, hang, label, and organize merchandise according to established standards.Ensure merchandise is clean, appropriately presented, and ready for sale.Box or hang merchandise as appropriate for distribution.Organize processed merchandise by destination or retail location.Coordinate the timely distribution of merchandise to applicable retail areas.Maintain an accurate log of merchandise awaiting delivery to retail locations.Ensure merchandise is handled carefully to prevent damage during processing and distribution.Communicate merchandise readiness and distribution needs to appropriate retail associates.Assist retail locations with receiving-related needs as necessary.Purchase Orders, Invoices & DocumentationMatch packing slips and merchandise received against applicable purchase orders.Verify merchandise quantities and costs for accuracy.Code vendor invoices according to established procedures.Compile required receiving documentation, including receiving edit lists, purchase orders, packing slips, and invoices.Ensure receiving documentation is complete and accurate prior to submission.Submit required documentation for appropriate review and approval.Maintain organized receiving and invoice records.Research discrepancies involving purchase orders, invoices, packing slips, or received merchandise.Coordinate with Accounting, Purchasing, and Retail leadership regarding documentation discrepancies.Maintain confidentiality and accuracy when handling Club financial and purchasing information.Returns & Vendor CreditsProcess merchandise returns according to established procedures.Prepare merchandise appropriately for return shipment to vendors.Maintain accurate records of returned merchandise.Follow up on outstanding vendor credits and pending credit memos.Monitor returns to ensure credits are received and appropriately resolved.Communicate unresolved return or credit issues to the Golf Retail Shop Manager.Maintain supporting documentation related to returns and credits.Coordinate with vendors regarding return authorizations and other return requirements as directed.Update applicable inventory records following returns.Assist with resolving damaged, defective, incorrect, or duplicate merchandise shipments.Special OrdersReceive and process member special orders according to established retail procedures.Ensure special-order merchandise is accurately identified and associated with the appropriate member account.Process applicable charges to member accounts accurately.Communicate receipt of special-order merchandise to appropriate retail associates.Prepare special orders for member pickup or delivery as required.Maintain organized records of pending and completed special orders.Assist with researching special-order discrepancies.Communicate unresolved concerns to the Golf Retail Shop Manager.Handle member merchandise and account information with discretion and confidentiality.Shipping & DeliveryPackage and ship merchandise and other approved items as required.Ensure merchandise is packaged appropriately to prevent damage during shipment.Prepare required shipping labels and documentation.Assign applicable shipping costs to the correct Club department or member.Maintain accurate records of outgoing shipments.Track shipments and assist with resolving delivery concerns when necessary.Reconcile shipping invoices for accuracy.Submit shipping invoices and supporting documentation to the Accounting Department for processing.Maintain organized shipping materials and supplies.Communicate significant shipping concerns or discrepancies to the Golf Retail Shop Manager.Receiving Area OrganizationMaintain the receiving area in a clean, safe, organized, and professional condition.Ensure merchandise is neatly labeled and readily accessible.Maintain clear walkways and workspaces.Organize merchandise according to receiving status and destination.Ensure unprocessed and processed merchandise are appropriately separated.Maintain organized shipping and receiving supplies.Monitor merchandise awaiting distribution and prevent unnecessary accumulation within receiving areas.Protect merchandise from loss, damage, or improper handling.Maintain appropriate security of merchandise and receiving documentation.Immediately communicate safety, facility, or storage concerns to appropriate leadership.Golf Retail Operations SupportProvide receiving and inventory support to Golf Retail Shop operations as needed.Assist with merchandise organization and replenishment.Support inventory counts and merchandise audits.Assist with preparing merchandise for tournaments, special events, promotions, and seasonal initiatives.Coordinate merchandise movement between designated retail areas.Respond to merchandise-location and inventory questions from retail associates.Support the Golf Retail Shop Manager with special projects and operational needs.Assist with Golf Retail Shop activities during high-volume periods when requested.Maintain effective communication regarding merchandise status and receiving priorities.Perform additional golf retail responsibilities and special assignments as directed.Collaboration & CommunicationMaintain consistent communication with the Golf Retail Shop Manager regarding deliveries, discrepancies, inventory, returns, credits, and receiving priorities.Collaborate with Golf Retail Shop associates regarding merchandise availability and distribution.Coordinate with Purchasing and Accounting regarding purchase orders, invoices, credits, and shipping documentation as appropriate.Communicate professionally with vendors and delivery personnel.Maintain organized documentation and provide requested information promptly.Communicate merchandise discrepancies immediately to appropriate leadership.Maintain professional and collaborative working relationships throughout the Club.Protect confidential member, vendor, purchasing, and financial information.Safety & Club StandardsFollow all Club, Golf Operations, Retail, and receiving safety policies and procedures.Utilize safe lifting and material-handling techniques.Maintain clear and organized receiving and storage areas.Safely use carts, dollies, ladders, steamers, box cutters, and other authorized receiving equipment.Immediately report damaged equipment, unsafe conditions, accidents, or injuries.Follow appropriate procedures when handling and storing merchandise.Maintain appropriate security and loss-prevention practices.Protect Club merchandise and assets from damage or loss.Maintain professional appearance and conduct consistent with Club standards.Participate in required Club and departmental safety training.Physical RequirementsThis position requires prolonged periods of standing and walking throughout receiving, storage, and retail areas, along with frequent reaching, bending, stooping, kneeling, crouching, lifting, carrying, pushing, and pulling while receiving, processing, organizing, and distributing merchandise. The employee must be able to frequently lift and move merchandise, boxes, supplies, and other items weighing up to 60 pounds, with heavier items requiring team assistance or appropriate equipment. The position requires regular use of hands and arms to handle merchandise, tools, labels, packaging materials, and receiving equipment. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The employee may occasionally be exposed to wet or humid conditions, airborne particles, heat, cold, and varying environmental conditions while receiving or transporting merchandise. Flexibility to work weekends, holidays, tournaments, and varying schedules based on Golf Retail operational needs is required.
