Operations Manager

Position Overview Watersound Real Estate is seeking an ambitious, highly organized, and service-minded Operations Manager to lead the day-to-day operations of our WaterColor office. This position is much more than traditional office administration. The Operations Manager serves as the operational heartbeat of the office, creating an environment where our agents, leadership team, and staff have the support, resources, and systems they need to perform at their best. The ideal candidate leads through service. They take pride in anticipating needs, solving problems before they become problems, building meaningful relationships, and creating an exceptional experience for everyone who walks through our doors. This individual will work closely with our Managing Broker, Marketing Team, Finance Department, and real estate advisors while taking ownership of the organization, professionalism, and daily functionality of one of Watersound Real Estate's primary office locations. Office Leadership & Operations Take ownership of the daily operation, organization, and presentation of the WaterColor office. Serve as a welcoming and professional first point of contact for agents, clients, partners, and guests. Maintain an elevated office environment reflective of the Watersound Real Estate brand and the communities we serve. Manage office supplies, scheduling, vendors, service providers, and operational needs. Anticipate potential issues and proactively develop solutions. Coordinate office meetings, trainings, events, and internal activities. Ensure the office remains organized, functional, client-ready, and fully equipped for agents and staff. Agent Experience & Support Our agents are our internal clients. A significant part of this role is helping create an environment where they can focus on growing their businesses while knowing they have a dependable operational partner behind them. Responsibilities include: Build strong relationships with Watersound Real Estate agents and become a trusted resource within the office. Provide administrative support including printing, signage coordination, documentation, and listing-related needs. Coordinate the onboarding experience for new agents and help ensure they have access to the systems, resources, technology, and contacts necessary to begin successfully. Assist agents with company technology, office systems, and operational processes. Identify recurring agent needs and recommend opportunities to improve systems and workflows. Communicate company information, resources, and operational updates clearly and consistently. Approach every interaction with patience, professionalism, resourcefulness, and a genuine desire to help. Serve as an operational partner to the Managing Broker. Assist with scheduling, communications, documentation, meetings, and administrative priorities. Help organize and execute brokerage initiatives and office programs. Maintain confidentiality when working with sensitive company, agent, client, and transaction information. Identify priorities and help leadership keep important initiatives moving forward. Marketing Team Support Collaborate with the Watersound Real Estate Marketing Team on office initiatives, agent programs, events, meetings, and marketing activities. Assist with the coordination and distribution of marketing resources and materials. Help connect agents with the appropriate marketing resources and team members. Support company events, sales meetings, trainings, community initiatives, and special projects. Maintain strong communication between office operations and marketing to create a seamless agent experience. Transaction & Accounting Support Accuracy and attention to detail are critical components of this position. Responsibilities include: Prepare Commission Disbursement Authorizations for agent transactions. Track and process transaction documentation for compliance and recordkeeping. Assist in maintaining complete and organized transaction records. Coordinate with agents, the Managing Broker, and Finance Department when transaction information or documentation is needed. Support basic accounting processes related to transactions, invoices, vendors, and office expenses. Maintain confidentiality and accuracy when handling financial and transaction-related information. Systems & Process Improvement We want this person to help us continuously improve how the office operates. The Operations Manager will: Learn and maintain proficiency across company technology and operational platforms. Help document and improve internal procedures. Identify opportunities to create more efficient workflows. Assist in training agents and staff on applicable office systems. Maintain organized digital and physical records. Help establish scalable operational standards as Watersound Real Estate continues to grow. Qualifications Previous experience in real estate operations, office management, executive administration, hospitality, professional services, or a similar operations-focused environment preferred. Exceptional organizational and time-management skills. Strong written and verbal communication skills. High level of professionalism and emotional intelligence. Strong attention to detail and commitment to accuracy. Ability to independently prioritize responsibilities and manage deadlines. Comfortable learning and navigating multiple technology platforms. Proficiency with Microsoft Office Suite and cloud-based collaboration tools. Experience with BoldTrail, Canva, electronic signature platforms, transaction management software, or similar real estate technology is a plus.
