The position supports the full federal grants lifecycle, including pre-award, award, post-award, financial monitoring, compliance, reporting, records management, and closeout activities. Additional Qualifications: Certifications & Licenses Bachelor’s degree required Master’s degree preferred Minimum of five (5) years of federal grants management or grants administration experience required NIH grants management experience preferred Three (3) or more years of finance, accounting, or grants financial management experience preferred Field of Study Business Administration Finance Accounting Public Administration Research Administration Related field Software Microsoft Office products eRA CommonsIMPAC II
Federal grants management and tracking systems Skills Strong knowledge of federal grants administration and the grants lifecycle Experience with pre-award, award, post-award, and closeout activities Proficiency with SF-424 applications, budget forms, modular budgets, and indirect cost calculations Experience reviewing grant budgets and performing mathematical and consistency checks Knowledge of NIH grants policies and federal grants requirements Familiarity with human subjects, vertebrate animal, IRB, IACUC, audit, and institutional compliance requirements Strong financial analysis and grants monitoring skills Excellent analytical, organizational, and time management skills Strong attention to detail and ability to identify administrative or compliance issues Strong written and oral communication skills Ability to manage multiple priorities and meet established deadlines Ability to prepare professional reports, summaries, correspondence, and tracking documents Deliverables: Work products and documents related to Funding Opportunity Announcement templates, administrative sections, publication tracking, and workflow coordination - Ad-Hoc Application Intake Reports documenting administrative completeness of grant applications - Ad-Hoc Budget Verification Worksheets and Cost Summaries related to grant application financial reviews - Ad-Hoc Compliance Checklists documenting required assurances, registrations, approvals, and supporting documentation - Ad-Hoc Applicant Risk Briefs summarizing institutional award history, audit information, and other due diligence documentation - Ad-Hoc Just-In-Time Status Logs and summary memoranda - Ad-Hoc Draft correspondence, internal routing memoranda, and grants management communications - Ad-Hoc Draft Notice of Award packages and related supporting documentation - Ad-Hoc Funding Summary and Obligation Worksheets - Ad-Hoc Award Setup Checklists and administrative award files - Ad-Hoc Financial Monitoring Reports and summaries of Federal Financial Report submissions - Monthly/Quarterly Post-Award Compliance Summaries and Issue Logs - Ad-Hoc Closeout Packages, checklists, and administrative closeout documentation - Ad-Hoc Archived Award Record Packages maintained in accordance with applicable records requirements - Ad-Hoc Weekly status reports summarizing active tasks, outstanding actions, risks, and priorities - Weekly Performance, risk, and workload information for grants management review meetings - Monthly Statement of Work Details: Support the preparation and administrative review of Funding Opportunity Announcements and related documentation - 1 Maintain tracking information related to Funding Opportunity Announcement publication and review workflows - 2 Monitor receipt of grant applications through eRA Commons and other applicable systems - 3 Review grant applications for administrative completeness, required forms, attachments, and applicable submission requirements - 4 Prepare administrative completeness reports and identify missing or incomplete application materials - 5 Perform mathematical verification and consistency reviews of SF-424 applications, budget forms, and budget justifications Review direct costs, indirect costs, modular budgets, and other grant-related financial information for accuracy and consistency Prepare budget comparison worksheets, funding summaries, and preliminary cost analyses Review applications for required assurances and documentation related to human subjects research, vertebrate animals, IRB approval, IACUC approval, and other applicable compliance requirements Verify institutional registrations and administrative information, including applicable federal registration information Compile applicant award history, audit information, and other due diligence documentation to support grants management review Track Just-In-Time requests and review submitted materials for administrative completeness Prepare Just-In-Time tracking reports and summary memoranda Draft routine correspondence, internal memoranda, and administrative communications related to grants management activities Maintain organized tracking logs and shared workflow documentation Assemble draft Notice of Award documentation, including funding summaries, applicable terms, and administrative information Prepare funding summary sheets, obligation worksheets, and award processing checklists Enter and maintain award information in applicable NIH grants management and tracking systems Establish and maintain electronic grantee files and administrative award documentation Reconcile approved budgets against awarded amounts and identify discrepancies for review Prepare recurring financial status summaries and monitoring reports Track Federal Financial Report submissions and identify delinquent or incomplete reports Review progress reports and other post-award submissions for administrative completeness Review no-cost extension requests, prior approval requests, and related post-award actions for completeness and potential policy issues Prepare issue logs, summaries, and draft recommendation memoranda for grants management review Support administrative amendments and award modifications Compile documentation required for grant closeout, including final financial reports, progress reports, and other required records Prepare closeout checklists and administrative closeout memoranda Maintain award records in accordance with NIH and federal records management requirements Prepare electronic archive packages for completed awards Ensure grants management documents are accurate, complete, professional, and appropriately version controlled Identify and elevate issues that may affect award processing, financial management, compliance, or closeout Prepare weekly status reports describing active activities, outstanding items, risks, and priorities Participate in recurring meetings with grants management leadership and program stakeholders Coordinate with internal staff and external stakeholders to support timely and accurate grants administration Interpret applicable NIH grants policies and federal administrative requirements when reviewing grant documentation Maintain organized records of grants management activities, decisions, supporting documentation, and follow-up actions Disclaimer: The above description is meant to illustrate the general nature of work and level of effort being performed by individuals assigned to this position or job description.
