About the Position

Reporting to the Chief Operating Officer, the Operations Manager leads CFC’s day-to-day administrative and workplace operations, including reception, facilities, safety preparedness, operational technology, vendor administration/relations, agency vehicles, special projects, and process improvement.

The Operations Manager supervises the Reception Team and IT Coordinator and collaborates with leadership, staff, property management, vendors, and consultants. Using independent judgment, the Operations Manager evaluates operational needs, develops and implements approved solutions, and monitors results to maintain a safe, accessible, efficient, and service-oriented workplace.

Requirements:

Primary Responsibilities:

Operational Project Management and Process Improvement

• Lead assigned operational projects from planning through completion, including research, recommendations, vendor coordination, timeline tracking, and status reporting.
• Track open operational items, facilities requests, technology-related issues, vendor follow-up, and administrative projects to ensure timely resolution.
• Identify operational gaps, recurring issues, and opportunities to improve internal workflows, office systems, and staff-facing processes.
• Develop, update, and maintain procedures related to administrative operations, facilities, supplies, equipment, technology coordination, and internal service requests.
• Research and recommend tools, platforms, or process improvements that strengthen efficiency, inventory control, equipment management, and staff support.

Team Leadership and Administration Services

• Provide daily onsite leadership and operational support for the main office, remote staff, and agency-wide administrative needs.
• Supervise front desk and reception operations, including visitor engagement, call handling, mail and package handling, front desk scheduling, and general office communication.
• Manage operational vendor contracts, service agreements, administrative records, and related documentation.
• Ensure compliance with insurance, lease, facilities, safety, and other operations-related requirements.
• Maintain safety and emergency procedures and coordinate related staff communication and training.
• Oversee office supplies, equipment, inventory systems, and operational logistics for staff meetings, Board meetings, trainings, and agency events.

Technology Oversight

• Supervise the IT Coordinator and provide operational leadership for agency technology needs, including user support, equipment needs, system concerns, and technology-related requests.
• Partner with the IT Coordinator and external consultants to support the performance, security, usability, and ongoing maintenance of CFC’s technology infrastructure.
• Assess technology-related needs and service gaps, identify risks, and recommend practical solutions to the COO.
• Support effective management of agency technology systems, including productivity platforms, telecommunications, user access, access control, hardware, software, and related inventory.
• Coordinate technology setup and support for offices, conference rooms, agency events, Board meetings, hybrid meetings, and staff transitions.
• Manage vendor relations, service contracts, and consultant engagement to support troubleshooting, system upgrades, data security, and agency-wide technology initiatives.

Facilities Management

• Manage day-to-day facilities operations, including repairs, maintenance, utilities, office moves, workspace configuration, storage, signage, and space planning.
• Serve as the primary liaison with building/property management and external facilities vendors, tracking requests and work orders through resolution.
• Identify workspace, safety, access, storage, and maintenance needs and recommend practical solutions.
• Maintain a safe, accessible, organized, and functional workspace that supports staff well-being and productivity.
• Coordinate workspace and equipment needs for new hires, staff transitions, meetings, and special projects.
• Oversee agency vehicle operations, including maintenance, documentation, registration, insurance, and branding.

Other Responsibilities

• Participate in agency-wide events and support related operational planning and execution, including Holiday Angels and the Betsy Awards.
• Serve on internal committees or working groups as needed.
• Perform other duties and special projects assigned by the COO or CEO.

Qualifications

• Bachelor’s degree in business administration, operations, nonprofit management, public administration, or a related field preferred; equivalent experience may be considered.
• At least five years of progressively responsible experience in operations, administrative management, office management, facilities coordination, or a related function in a nonprofit, public agency, education, or similarly complex environment.
• At least three years of supervisory experience, including setting expectations, monitoring performance, providing feedback, and promoting accountability.
• Demonstrated experience managing operational projects, coordinating stakeholders, tracking details, and bringing projects to completion.
• Experience managing facilities, vendors, service requests, office systems, supplies, equipment, and workplace needs.
• Strong technology aptitude, including experience working with IT staff, managed service providers, or technology consultants;
• Working knowledge of Microsoft 365, Teams, SharePoint, Zoom, and common workplace technology platforms.
• Ability to identify problems, research options, recommend solutions, and implement process improvements.
• Strong organizational skills, attention to detail, and ability to manage competing priorities in a office environment.
• Strong written and verbal communication skills, including the ability to provide clear updates, document procedures, and communicate effectively with staff, vendors, consultants, and leadership.
• Ability to exercise discretion, maintain confidentiality, and use sound judgment.
• Collaborative and service-oriented approach, with the ability to work effectively across departments and with diverse staff and stakeholders.
• Availability to work occasional evenings and weekends.

Working Conditions

• Typical of an office environment.
• Occasional local travel may be required.
• Must comply with agency health and safety protocols.
