CLIENT LIAISON | SERVICE OWNERSHIP | TEAM COORDINATION

Role OverviewThe Client Service Specialist serves as a key liaison between our clients, advisors, team members, and home office. This person takes ownership of client service needs and advisor meeting follow-up, ensuring action items move efficiently from identification through completion.

The ideal candidate is highly organized, proactive, comfortable communicating with clients, and able to coordinate multiple priorities across a team.

Key Responsibilities· Own meeting follow-up: Manage client action items from the time an advisor leaves a meeting through final completion.

· Coordinate client service: Prepare and process paperwork, communicate with clients and home office, and resolve service-related needs.

· Manage team workflow: Assign and track tasks across the team related to trades, service requests, financial planning needs, open questions, and advisor follow-up.

· Serve as a client liaison: Communicate directly with clients to provide updates, gather information, answer questions, and ensure timely follow-through.

· Support advisors: Return client calls when advisors are unavailable and help ensure questions and requests reach the appropriate team member.

· Manage scheduling: Assist with the client calendar and meeting coordination as needed.

· Drive items to completion: Monitor outstanding requests, identify next steps, and proactively follow up so that nothing falls through the cracks.

· Maintain client records: Document activity, tasks, and relevant client information in the practice CRM.

· Strong written and verbal communication skills

· Ability to manage multiple priorities and follow through without constant oversight

· Comfortable communicating directly with clients and coordinating work among multiple team members

· A proactive, problem-solving mindset with a strong sense of ownership

· College degree preferred

· Experience with Salesforce CRM

· Proficiency with Microsoft products is helpful

· Previous client service or financial services experience is a plus

· Background check and fingerprinting required

When an advisor leaves a client meeting, this person helps ensure that every commitment made to the client is communicated, assigned, tracked, and ultimately completed.

They become a reliable point of connection between the client, advisor, and broader team, allowing advisors to stay focused on advice and client relationships while knowing that service needs are being handled from start to finish.
