Position OverviewThe Surgical Coordinator at United Health Services (UHS) plays an important role in helping patients navigate the surgical process from planning through procedure readiness. This position serves as a key point of contact for patients, coordinating appointments, insurance authorizations, and required clearances while keeping information accurate and up to date. Working closely with providers, clinical teams, hospitals, and health plans, the Surgical Coordinator helps ensure care stays on track, answers questions, and provides compassionate support so patients feel informed, prepared, and confident throughout their surgical experience.

Job Responsibilities

Essential Functions:

• Schedule surgical procedures and related services in the electronic health record, including pre-operative, post-operative, and clearance appointments, to support timely patient care

• Coordinate insurance authorizations by gathering required clinical documentation, diagnosis codes, and procedure codes to facilitate approved and on-time surgeries

• Communicate clearly and compassionately with patients to explain surgical timelines, preparation requirements, and insurance processes

• Collaborate with medical providers, clinical teams, and hospital staff to align schedules and ensure continuity of care

• Maintain accurate and complete documentation in the electronic health record, including communications with patients, health plans, and external partners

• Manage multiple scheduling and authorization requests while prioritizing urgent cases and meeting established timelines

Scope and Impact:

• Contribute directly to patient access, surgical readiness, and care coordination through accurate scheduling and authorization activities

• Exercise judgment within established procedures when prioritizing requests and escalating issues as appropriate

• Work under general supervision with accountability for assigned scheduling workflows, documentation accuracy, and follow-through

• Travel occasionally between facilities, offices, and other assigned locations as needed to support operational and departmental requirements; possess reliable means of traveling independently throughout the workday when such travel is required

Compliance and Professional:

• Adhere to HIPAA requirements and organizational standards when handling patient information and clinical documentation

• Support compliance with Joint Commission, New York State Department of Health, Infection Control, and other regulatory requirements

• Complete required training, competency validation, and performance improvement activities within established timeframes

• Safeguard sensitive data by following established security policies and procedures, using systems responsibly, and promptly reporting potential security incidents, risks, or policy violations

• As applicable to your role, support cybersecurity and data protection requirements throughout the supplier lifecycle by coordinating vendor risk assessments, monitoring third-party compliance, and promptly reporting identified supply chain or cybersecurity risks

Position Qualifications

Required:

• High School Diploma or equivalent

• At least 1 year of direct experience performing the exact or very similar duties required by the job within the same role or function

• At least 1 year of healthcare experience working in the healthcare industry in any job function

• At least 1 year of customer/patient-facing experience directly interacting and communicating with the public

Preferred:

• NHA Certified Medical Administrative Assistant (CMAA) certification

• Up to 1 year of technical/systems experience using specialized tools, software, or equipment required for the role

• Up to 1 year of experience in the same work environment or setting (hospital, practice, department/division)
