Key Account Specialist

The Key Account Specialist provides administrative and operational support to the Sales Team and Key Account Managers. This position serves as a key liaison between customers, sales representatives, and internal departments to ensure customer orders are entered accurately, processed efficiently, and delivered according to customer requirements. The ideal candidate is highly organized, detail-oriented, responsive, and comfortable managing multiple priorities in a fast-paced sales environment. Primary Responsibilities Provide day-to-day administrative and sales support to Key Account Managers and the Sales Team. Receive, review, and enter customer sales orders and order changes into the ERP system. Review orders for accuracy, including pricing, quantities, minimum order requirements, ship dates, product details, and customer‑specific requirements. Determine whether orders are for stock, reorder, or custom products and coordinate the appropriate internal process. Maintain accurate customer, item, pricing, royalty, and order information within the ERP system. Track open orders, ship dates, customer priorities, and order status, communicating updates to Key Account Managers and customers as needed. Work closely with the Global Planning Team to coordinate product sourcing and production planning. Partner with the Vendor Compliance Team to ensure customer requirements for product specifications, packaging, labeling, routing, and shipping are properly communicated and followed. Serve as a point of contact for customer questions regarding products, orders, availability, and shipment status. Support Key Account Managers with customer account administration, order follow‑up, reporting, and special projects. Coordinate with Art, Sales, and customers to support the execution of custom product programs. Research and resolve order discrepancies, pricing questions, and other customer service issues. Maintain organized and accurate sales and customer records. Assist with sales reports, customer documentation, spreadsheets, presentations, and other administrative tasks as needed. Build positive working relationships with customers and internal departments to support customer satisfaction and sales growth. Perform additional sales support and administrative duties as assigned. Qualifications High School Diploma or GED required; associate or bachelor’s degree in Business, Sales, or a related field preferred. Minimum of 3 years of experience in sales support, sales administration, account coordination, order management, or data entry. Experience working with an ERP or order management system required. Proficient in Excel is required. Strong administrative, organizational, and time‑management skills. Excellent attention to detail and commitment to data accuracy. Strong written and verbal communication skills. Customer‑focused with strong interpersonal and relationship‑building skills. Ability to manage multiple priorities and meet deadlines. Strong problem‑solving and follow‑up skills. Proficient in Microsoft Office, including Outlook, Excel, and Word.
