Job Summary: Contributes to the Human Resources mission to find, recruit, develop and retain employees by providing various levels of support, tools and coordination. Coordinates direct administrative support for the Employment Team at Spirit Mountain Casino for the various employment functions. Must maintain and ensure confidentiality. Essential Functions Coordinates and assists with the job posting and requisition procedure, as well as maintains and updates all relevant data in the applicant tracking system, e-verify, and requisition spreadsheet. Checks and tracks applications daily; new applicants, rehires, and Tribal Member applicants. Responsible for maintaining and assuring strict confidentiality. Assists with the e-filing system for employee records, ensuring compliance with federal retention requirements. Accepts incoming documents, enters into tracking database, gathers applicant/employee information, and forwards to appropriate Human Resources staff for processing. Proofreads documents and verifies accuracy of own work and that of others. Maintains compliance with all regulations and laws governing recruitment, selection, and employment, including Tribal Employment Rights Ordinance (TERO). Utilizes HRIS for recruitment and reporting purposes. Troubleshoots HRIS issues and assists with updating HRIS data. Maintains the department's bulletin board (e.g., current job openings and benefit information). Schedules appointments and meetings for department staff and maintains the department’s group calendar. Prepares purchase orders; monitors and orders supplies; ensures adequate supply of forms and use of most current version of forms. Assists with various department audits and projects. Updates human resources related forms, documents assists applicants with completing on-line applications, reviews for completeness and responds to applicant inquiries. Prepares interview packets, assists with scheduling interviews, and administers applicant testing. Assists with collecting pre-employment and new hire paperwork. Communicates with applicants on the status of their employment applications by letter, phone, or e-mail. Assists candidates with gaming licensing application troubleshooting. Coordinates pre-employment drug screens and assists with driving record checks. Tracks recruitment information and generates reports as needed. Responds to simple and moderately complex customer requests and inquiries. Completes Pre-Employment Drug Tests for Post-Offer Applicants, including sending “Non-Negative” samples to the Laboratory for further testing. Assists with tracking and maintaining employee referral, hire-on-bonus, and dealer school bonus. Submits this information into payroll processing data. Coordinates all new hire Welcome Announcements for the e-bulletin board. Performs a variety of other duties as assigned by the supervisor. Education, Experience, and Licenses: Requires a high school diploma or GED. Requires three (3) years’ work experience in in human resources, or closely related field. Associate’s Degree in Human Resources or a closely related field is preferred. OR equivalent combination of education, training and experience. High security gaming license issued by the Grand Ronde Gaming Commission. Driving Requirements: This position may require driving. Qualifications, Registrations, and Certifications: Human Resources training and experience preferred. Must have knowledge of Human Resources Information System (HRIS) and standard computer software applications. Requires advanced knowledge of word processing, spreadsheet, graphics and presentation software. Requires excellent communication skills, listening, verbal and written skills, excellent interaction, and interpersonal skills. Requires discretion, courtesy and tact, involving contacts with employees, committee members, clients, applicants, and other visitors. Requires strong commitment to accurately complete tasks, problem solve, demonstrate initiative and organizational skills, attention to detail, and personal integrity. Requires ability to work independently with general direction. Requires the ability to add, subtract, multiply, divide in all units of measure, using whole numbers, fractions & decimals; computes rates, ratios and percentages. Requires the ability to work in a fast-paced and challenging environment with multiple, changing priorities, while delivering quality service within strict time limitations. Requires the ability to operate a variety of office equipment such as computer, printer, fax, copier, scanner, shredder, etc. Knowledge of and sensitivity to Native American culture required. Environmental Factors and Conditions/Physical Requirements: Continually requires the ability to express or receive detailed information or important instructions through oral communication. Continually requires working with fingers rather than the whole hand or arm. Requires repetitive movement of wrists, hands and/or fingers. Often requires walking or moving about to accomplish tasks. Requires standing and/or sitting for sustained periods of time, raising objects from a lower to a higher position and/or moving objects horizontally. Occasionally requires lifting of up to 20 pounds. This position is frequently subject to inside environmental conditions which provide protection from weather conditions, but not necessarily from temperature changes, and is occasionally subject to outside environmental conditions. Supports a safe work environment by performing all duties in accordance with Tribal safety policies and procedures, and Emergency Management Plan. Due to the nature of the interactions with other employees and the public we serve, employees may be required to provide documentation of, or receive, certain health vaccinations. May be called upon to serve as a Disaster Reservist during emergencies. Local travel is occasionally required. Travel outside of the state is infrequently required.
