Job Description

The Facilities positionis responsible for the day-to-day maintenance, operations, safety, cleanliness, and overall condition of our facilities across all CLCU properties. This position will be responsible for ensuring our buildings, grounds, vehicles, equipment, furniture, and related facility systems are properly maintained, clean, safe, functional, organized, and cost-effective. This hands-on position requires someone who can identify issues, prioritize needs, coordinate solutions, and work effectively with branch leadership, employees, and outside contractors. Some travel will be required.

Essential Functions

Facilities & Maintenance

• Oversee the day-to-day maintenance, cleanliness, and upkeep of CLCU properties.

• Develop and maintain preventative maintenance schedules for buildings, equipment, and facility systems.

• Identify maintenance needs and coordinate repairs in a timely and cost-effective manner.

• Monitor HVAC, plumbing, electrical, roofing, lighting, and other building systems.

• Coordinate and oversee outside contractors, service providers, and repair vendors.

• Obtain estimates and assist with evaluating and prioritizing facility improvement projects.

• Maintain appropriate records of maintenance, repairs, inspections, warranties, and service agreements.

• Ensure facilities are clean, safe, functional, organized, and present a professional appearance.

• Perform or coordinate routine cleaning and facility upkeep as needed, including common areas, offices, break areas, restrooms, entrances, and other facility spaces.

• Coordinate deep cleaning and specialty cleaning services when needed.

• Ensure all ATMs are thoroughly cleaned and maintained in great condition.

• Set up, relocate, assemble, disassemble, and move desks, furniture, office equipment, and other facility items as needed.

• Assist with branch moves, office rearrangements, renovations, and workspace reconfigurations.

• Safely move and position equipment, furniture, supplies, and other items between locations as needed.

• Maintain an organized inventory of facility-related supplies, equipment, furniture, and other assets.

Grounds & Exterior Maintenance

• Oversee landscaping, parking areas, exterior lighting, signage, drainage, and general ground maintenance.

• Coordinate lawn care, landscaping, tree service, pest control, pressure washing, exterior cleaning, and other outside services.

• Identify and address potential safety hazards around facilities and grounds.

• Ensure all ATMs and surrounding areas are clean, well-maintained, and in great condition.

Fleet Management

• Oversee the organization's fleet of vehicles and related equipment.

• Maintain preventative maintenance and service schedules for vehicles.

• Coordinate repairs, inspections, registrations, and other required vehicle services.

• Monitor vehicle condition, utilization, and operating costs.

• Maintain accurate fleet records and documentation.

• Help ensure vehicles are safe, reliable, clean, and properly maintained.

• Coordinate vehicle cleaning and detailing as needed.

• Coordinate with branch personnel regarding vehicle needs and availability.

• Assist with the movement or relocation of vehicles and equipment between locations when necessary.

Safety, Compliance & Risk Management

• Conduct regular inspections of facilities, grounds, vehicles, equipment, furniture, and facility systems.

• Identify potential safety hazards and coordinate corrective action.

• Help ensure facilities and equipment meet applicable safety, regulatory, and organizational requirements.

• Maintain required inspection, permit, service, and compliance records.

• Assist with emergency preparedness and response related to facilities and building systems.

• Ensure furniture, equipment, and facility setups are arranged safely and do not create hazards or obstruct access.

Vendor & Budget Management

• Establish and maintain relationships with contractors, vendors, cleaning companies, landscapers, maintenance providers, and other service providers.

• Monitor vendor performance and ensure work is completed according to expectations.

• Review invoices and assist with managing facilities, cleaning, moving, and fleet-related expenses.

• Obtain quotes and estimates for repairs, cleaning, maintenance, moving, and facility improvement projects.

• Look for opportunities to reduce maintenance, cleaning, energy, moving, and operating costs without compromising safety or quality.

Branch Support

• Work closely with CXO and branch managers to understand facility, cleaning, maintenance, furniture, equipment, and operational needs.

• Serve as the primary point of contact for facilities and fleet-related issues.

• Respond to and coordinate facility-related requests, including maintenance, cleaning, workspace changes, furniture moves, and equipment relocation.

• Prioritize requests across all locations based on urgency, safety, operational impact, and cost.

• Travel between branch locations as needed to inspect facilities, coordinate projects, perform or oversee cleaning and maintenance, move equipment or furniture, and address issues.

• Assist branch staff with office setups, relocations, workspace changes, and special facility projects.

• Support new employee workstations and office setups by coordinating or assisting with the placement and setup of desks, chairs, equipment, and related items.

Knowledge, Skills, and Abilities

• Previous experience in facilities management, building maintenance, property management, fleet management, custodial/cleaning operations, or related fields.

• Strong knowledge of general building maintenance and repair.

• Working knowledge of HVAC, plumbing, electrical, mechanical systems, and general construction/maintenance practices.

• Experience with cleaning, facility upkeep, furniture moving, office setup, or equipment relocation preferred.

• Experience managing vehicles, equipment, or commercial fleet preferred.

• Experience coordinating contractors and outside service providers.

• Strong organizational and problem-solving skills.

• Ability to prioritize multiple projects and maintenance requests across several locations.

• Strong communication and interpersonal skills.

• Ability to work independently and take ownership of facility and maintenance issues.

• Basic computer skills and ability to maintain accurate records.

• Valid driver's license and ability to travel between branch locations.

• Ability to safely lift, move, assemble, and position furniture, equipment, supplies, and other facility items.

Working Conditions

The role involves regular interaction with colleagues, members, and supervisors, requiring effective and professional communication utilizing verbal and nonverbal skills. Hours are generally Monday through Friday however; some positions will be required to work Saturday hours occasionally and possibly evening shifts in a rotation. The job also entails a high level of confidentiality, as all employees have access to sensitive member information and financial transactions. The work environment is fast paced and frequently involves shifting priorities.

Physical Requirements

This position may require walking through facilities and grounds, climbing stairs and ladders, inspecting equipment and building systems, lifting and moving furniture and equipment, assisting with office setups and relocations, performing or overseeing cleaning activities, and occasionally assisting with hands-on maintenance activities. The ability to safely perform and supervise work in a variety of facility environments is required. The position may require frequent standing, walking, bending, reaching, lifting, carrying, pushing, and pulling. The employee must be able to safely handle and move furniture, equipment, supplies, and other materials as necessary to support facility operations. While specific physical requirements may vary depending on the position, overall, the role requires physical stamina and the ability to perform tasks with precision and efficiency. Mental processing, contemplating, and decision-making are all required in every position to include providing guidance, problem solving, reading, intuitiveness, interpretation, and research.

Travel

Limited travel is expected for this position.

Required Education and Experience

·High School education or GED

·Knowledge of preventative maintenance programs.

· Experience with office moves, furniture installation, workspace setup, or equipment relocation.

· Experience managing a commercial vehicle fleet.

· Experience cleaning and custodial operations.

· Experience managing multiple facilities or locations.

· Experience working with maintenance management or work-order systems.
