Position Description

CHP is seeking a detail-oriented Development Assistant to support the organization’s fundraising infrastructure through accurate gift processing, donor record management, and administrative support for the Development team. This role plays an essential part in ensuring that gifts are processed accurately and efficiently, donor information is well maintained, and development operations run smoothly.

Working closely with the development team, the Development Assistant will help manage donor data, support development reporting, assist with grant tracking, and coordinate administrative logistics related to fundraising activities. This position helps ensure that CHP’s development operations maintain strong internal systems and provide excellent stewardship for donors and partners.

The Development Associate reports to the Chief Engagement & Advancement Officer and collaborates closely with development and finance staff.

Responsibilities

Gift Processing & Donor Records

  • Process all gifts including checks, ACH transfers, and online gifts through platforms such as QGIV or other digital giving tools.
  • Ensure timely deposit of gifts and accurate recording in the organization’s CRM system.
  • Maintain accurate donor records and supporting documentation within the database.
  • Enter new donor records, opportunities, and relevant updates into the CRM system.
  • Track pledges, pledge payments, and recurring gifts.
  • Support preparation and distribution of donor acknowledgments and gift confirmations.

Development Operations Support

  • Maintain organized donor files and gift documentation to support reporting and donor stewardship.
  • Assist with development reporting, data verification, and internal record reviews.
  • Support ongoing data updates and record maintenance within the donor database.
  • Coordinate with the Development Operations & Digital Coordinator to maintain accurate and reliable development data systems.
  • Administrative Support for the Development Team
  • Support scheduling of development meetings, donor visits, and internal planning meetings.
  • Assist with preparation of development materials for meetings, events, and board committees.
  • Provide logistical and administrative support for development committee meetings.

Grant Support

  • Assist with grant preparation logistics and submission tracking.
  • Maintain a calendar of grant deadlines and reporting schedules.
  • Support document preparation and internal coordination for grant submissions.

Qualifications

  • Bachelor’s degree in nonprofit management, business administration, communications, or a related field preferred.
  • 1–3 years of experience in nonprofit development, administrative operations, database management, or a related role.
  • Experience working with CRM or donor database systems preferred.
  • Strong attention to detail and ability to manage data accurately.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Commitment to CHP’s mission of supporting under-resourced and small-acreage landowners and advancing generational land ownership.

Compensation

Hiring Range: $40,000 – $45,000, commensurate with experience
