Cortez Middle School Registrar-Assistant Principal Secretary

Position Summary Responsible for the overall management of the school office; perform secretarial and clerical functions; basic accounting and bookkeeping; record keeping and report preparation; develop and promote positive relationships with community and school clientele. Typical Responsibilities Provides secretarial and clerical support for building administrator(s) Responds to telephone calls, routes calls, takes messages and assists staff, parents, and community with concerns and questions Performs various financial and budgetary accounting procedures and generates all required attendant reports Maintains inventory of building fixed assets Maintains various computerized and hard‑copy student records Prepares reports as required by the district, the state department of education, and the state government Administers first aid and medication in the absence of the school nurse Supervises students in office in disciplinary and non‑disciplinary situations Prepares a variety of communications (e.g., newsletters, bulletins) and distributes to staff, students, parents, and community Processes purchase orders Maintains management of the office in the absence of the building administrator Manages arrangements for substitute personnel and maintains attendant records Performs other related duties as assigned and requested Position Requirements Minimum Education Specialized courses beyond high school Minimum Experience One to three years Skill Requirements Computer proficiency Word processing General office equipment Some accounting/bookkeeping knowledge First Aid Effective communication General Expectations Is flexible Works cooperatively with supervisors and coworkers Maintains a generally positive attitude Observes all district policies and procedures Licenses or Certification None required. Essential Environmental Demands Mostly clean and comfortable, some noise. All buildings and grounds in District Re‑1 are tobacco free. Essential Physical Demands Frequent lifting 5 to 10 pounds Occasional lifting 10 to 50 pounds Frequent sitting, standing, walking, bending, reaching Occasional squatting, stooping, climbing, kneeling Supervisory Duties None.
