Billing Coordinator

Job Description

Food manufacturing company located in Monrovia is seeking a billing coordinator to join their team.

• 8am - 4:30pm
• Monday - Friday

Job Summary: The Billing Coordinator is responsible for accurately processing customer orders, verifying pricing, and preparing and submitting customer invoices. This position works closely with customers and internal departments to ensure billing accuracy, maintain required documentation, and promptly resolve order and invoicing discrepancies.

Job Duties & Responsibilities:

• Enter and process customer orders accurately and timely.
• Review orders for correct customer information, items, quantities, pricing, and purchase order requirements.
• Provide pricing confirmations and communicate order changes as needed.
• Prepare and submit accurate customer invoices using QuickBooks and other company systems.
• Transmit invoices through EDI, email, RetailLink, and other customer-required portals.
• Verify invoices against customer orders and shipping documentation.
• Maintain customer-specific billing, EDI, portal, and documentation requirements.
• Research and resolve pricing discrepancies, rejected invoices, deductions, and other billing issues.
• Coordinate with Sales, Accounting, Shipping, Logistics, and other departments to resolve order and billing discrepancies.
• Maintain accurate and organized billing, order, and customer records.
• Respond to customer billing and order inquiries professionally and timely.
• Follow company food safety, quality, safety, and GMP requirements.
• Maintain regular and timely attendance.
• Perform other duties as assigned.

Job Skills & Requirements:

• High school diploma or equivalent required.
• Minimum 2 or more years of experience in billing, order processing, customer service, food
• manufacturing/distribution, or a related field preferred.
• Experience with QuickBooks, ERP/order management systems, Microsoft Office, EDI, and customer portals such as RetailLink preferred.
• Bilingual English/Spanish preferred.
• 10-key proficiency and accurate data-entry skills preferred.
• Strong mathematical, organizational, and attention-to-detail skills.
• Strong written and verbal communication and problem-solving skills.
• Ability to prioritize multiple responsibilities and meet deadlines.
• Ability to work independently and collaboratively with other departments.
• Self-motivated, dependable, and able to follow issues through to resolution.
• Regular, timely, and reliable attendance required.
