Waterfront Manager

Position Summary

The Waterfront Manager is responsible for the overall leadership, administration, and day-to-day operations of line handling, OSRO/Co-op readiness, chandlery, warehousing, and project activities. This role serves as the primary point of contact for customers and internal stakeholders and ensures safe, compliant, efficient, and profitable operations.

The Waterfront Manager integrates operational oversight, personnel leadership, customer relations, safety management, and administrative/project coordination to ensure high-quality service delivery and strong financial performance. This position requires both office-based leadership and active engagement in waterfront and warehouse environments.

Key Responsibilities

Safety, Compliance & Quality

• Promote and enforce a culture of safety and compliance with company policies, regulatory requirements, and Safety Management System (SMS) standards.
• Serve as local safety lead, overseeing audits, inspections, corrective actions, and incident/near-miss follow-up.
• Ensure safe operation, maintenance, and documentation of vessels, vehicles, equipment, and facilities.
• Maintain compliance with permits, licenses, certifications, and regulatory reporting requirements.

Operations & Waterfront Management

• Oversee OSRO and Co-op readiness.
• Oversee vessel operations, line handling coordination, and personnel scheduling.
• Plan, direct, and coordinate daily warehouse, and delivery operations for chandlery.
• Manage warehouse layout, inventory control, product handling, receiving, storage, and shipping processes.
• Coordinate with customs brokers and external agencies to ensure timely clearance of inbound shipments.
• Evaluate operational processes and recommend improvements, equipment, or facility enhancements.

Project & Administrative Management

• Oversee project lifecycles from planning through closeout, including scopes, estimates, documentation, scheduling, and coordination with field teams.
• Ensure contracts, work orders, and supporting documentation are accurate and complete before project initiation.
• Track budgets, costs, and project performance to support profitability analysis.
• Review and approve purchase orders, work orders, and invoices.
• Coordinate invoicing, billing, accounts receivable follow-up, and customer account support.

Financial & Business Management

• Assist in developing and managing annual budgets, forecasts, and variance reporting.
• Monitor inventory levels, operating expenses, and financial performance.
• Drive continuous improvement in productivity, quality, customer service, and cost control.
• Support strategic initiatives to grow revenue and improve overall profitability.

Customer & Stakeholder Relations

• Act as the primary customer point of contact, ensuring high levels of service and satisfaction.
• Build and maintain strong relationships with customers, vendors, port authorities, pilots, agents, and regulatory bodies.
• Represent the company professionally at meetings, site visits, and operational reviews.

Personnel Leadership

• Recruit, onboard, train, coach, and develop employees.
• Schedule staff and oversee daily workforce deployment.
• Conduct performance evaluations and provide ongoing feedback and coaching.
• Address disciplinary issues and support career development for direct reports.
• Review and approve payroll and timesheets for accuracy.

Qualifications

Required

• Bachelor's Degree or equivalent experience in operations, business, or maritime-related fields.
• Strong organizational, leadership, and time-management skills.
• Excellent written and verbal communication skills.
• Proficiency with MS Word, Excel, and administrative/financial systems.
• Valid Driver's License with acceptable driving record.
• Ability to work independently and lead teams in both office and waterfront environments.
• Ability to navigate industrial settings and work around marine and warehouse operations.

Preferred

• Commercial Driver's License (CDL A or B)
• Business, Marketing, or Operations-focused degree.
• Experience in marine services, ship chandlery, logistics, warehousing, or food service distribution.
• Familiarity with ERP systems such as Microsoft Navision or Business Central.
• Maritime credentials (e.g., TWIC, USCG license) as required by operation.

Physical & Work Environment

• Combination of office, warehouse, dock, and vessel environments.
• Ability to sit or stand for extended periods, use computer systems, and navigate industrial settings.
• Occasional lifting, bending, and exposure to outdoor weather conditions.
