Administrative Assistant

M.B. Architectural Design and Consulting

Job Description

Job Description

MBM Architects & M.B. Architectural Design and Consulting

Part-Time (20 hrs/week) — Growth Opportunity About Us Hi, I'm Martha Brazoban — architect, founder, and CEO of MBM Architects and M.B. Architectural Design and Consulting. With over 30 years of residential and commercial experience managing expansion and construction projects with budgets exceeding $2.2 million, I've built a practice around one core belief: great design starts with genuinely supporting and empowering our clients through every step of the process. We're on the cusp of an incredible year, and we're looking for someone who wants to grow with us. This isn't just an admin job — it's a chance to become a true partner in our 2026 growth story, with real opportunity to expand your role and hours as the business scales. The Role As our Office Manager and first point of contact, you'll be the face and voice of our firm — the person who makes every client, vendor, and colleague feel like they're working with a team that has it together. You'll manage contracts, invoices, schedules, and our project management system (Notion), keeping the engine of the business running smoothly behind the scenes so we can focus on great design. This role starts at 20 hours/week with the opportunity to scale up as we grow — ideal for someone who's energized by variety, takes pride in doing things right, and wants their contributions to visibly matter. What You'll Bring Organizational Skills Manage schedules, files, documents, and our electronic project management system (Notion) Prioritize tasks to keep the office running efficiently Catch errors before they become problems — in scheduling, correspondence, or documentation Communication Skills Write clear, professional emails and correspondence Be the calm, capable first point of contact for clients, vendors, and colleagues Turn inquiries and even complaints into positive experiences through thoughtful, solutions-first communication Time Management Juggle multiple priorities without dropping the ball Plan ahead to keep operations running smoothly, not just reactively Problem-Solving Handle the day-to-day curveballs — scheduling conflicts, supply gaps, last-minute changes — with a level head Think critically and bring solutions, not just problems, to the table What We're Looking For We want someone enthusiastic and professional — someone who's excited to grow their career alongside a growing firm, brings positive energy to every interaction, and takes real ownership of their work. Office, client-facing, or administrative experience is a plus, but attitude, reliability, and a genuine desire to learn matter just as much. Why Join Us Direct mentorship from an experienced architect and business founder A front-row seat to how a growing firm scales in real time Real opportunity for the role — and your hours — to expand as we do A collaborative, supportive environment where your contributions are seen and valued Ready to grow with us? We'd love to hear from you.
