Operations Manager

Job Summary

The Operations Manager will play a critical role in supporting the overall operations of a government contracting company. Responsibilities include ensuring compliance with CMMI (Capability Maturity Model Integration) and ISO (International Organization for Standardization) standards, coordinating and executing internal audits, and supporting various operational and administrative activities. The Operations Manager will work closely with the CEO and other team members to ensure that the organization meets all regulatory and contractual requirements.

Key Responsibilities

• Overall Company Operations:
• Provide general administrative support to ensure efficient operation of the office.
• Assist with the management of day-to-day company operations, including scheduling, coordination, and documentation.
• Support the development and implementation of operational policies and procedures.
• Facilitate communication across departments and ensure effective information flow.
• CMMI & ISO Certification:
• Manage and ensure the maintenance of the company's CMMI and ISO certification status.
• Develop, implement, and monitor procedures to ensure compliance with CMMI and ISO standards.
• Conduct gap analyses and coordinate with relevant departments to implement improvement plans.
• Internal Audits:
• Plan, schedule, and conduct internal audits to assess compliance with CMMI and ISO standards.
• Prepare detailed audit reports, document findings, and recommend corrective actions.
• Track and follow up on audit findings to ensure corrective actions are implemented effectively.
• Operational Support:
• Coordinate and monitor project tasks to ensure compliance with timelines, contractual obligations, and adherence to CMMI and ISO standards.
• Assist in the preparation, review, and submission of project proposals, reports, and other required documentation.
• Support the inventory management of office supplies and equipment.
• Manage and have oversight over vendors (IT and other business operations).
• Documentation and Record Keeping:
• Maintain and organize files, records, and documentation pertinent to CMMI and ISO standards.
• Ensure all documentation is up-to-date and accessible for audit and compliance purposes.
• Communication:
• Act as a liaison between different departments and external stakeholders, ensuring clear communication regarding compliance and standards.
• Handle internal and external communications related to CMMI and ISO standards.
• Assist in drafting and distributing internal communications and updates on processes and compliance requirements.
• Training and Development:
• Assist in developing and conducting training programs related to CMMI and ISO standards for staff.
• Ensure all employees are aware of and understand the importance of these standards and their role in maintaining compliance.
• Regulatory Compliance:
• Assist with the preparation of compliance documents and reports required by government regulations and CMMI/ISO standards.
• Ensure that all operational activities comply with company policies, government regulations, CMMI, and ISO guidelines.
• Stay updated on changes to CMMI and ISO standards and advise on necessary adjustments.
• Additional Duties:
• Perform other related duties as assigned to support the overall operations and compliance needs of the company.

Qualifications

• Education:
• Bachelor's degree in Business Administration, Management, Quality Assurance, or equivalent years of experience in lieu of degree in a related field preferred.
• Experience:
• Minimum 10 years of experience in a role involving CMMI and/or ISO certification, internal audits, and operational support, preferably within a government contracting environment.
• Hands-on experience with CMMI and ISO standards and their application in a business setting is required.

• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to handle sensitive information with discretion.
• Knowledge of government contracting procedures and compliance is a plus.

Physical Requirements
