About the Opportunity

We're seeking a highly organized, resourceful, and tech-savvy Business Operations Manager to help manage the day-to-day operations of our growing firm.

This is a hands-on role for someone who enjoys creating structure, improving processes, coordinating moving parts, and taking ownership of administrative responsibilities. The ideal candidate is proactive, detail-oriented, and comfortable working in a fast-paced entrepreneurial environment.

Key Responsibilities

Business Operations & Administration

• Coordinate daily business operations, internal processes, and administrative functions.
• Manage business insurance policies, renewals, certificates of insurance, vendor relationships, and company subscriptions.
• Maintain company records, contracts, filing systems, and standard operating procedures (SOPs).
• Support employee and contractor onboarding, personnel administration, and internal coordination.

Executive Support & Special Projects

• Manage executive calendars, scheduling, meetings, and travel arrangements, including flights, hotels, and itineraries.
• Prepare executive reports, presentations, meeting materials, and business correspondence.
• Conduct research and coordinate special projects, including employee benefits, operational improvements, and vendor evaluations.
• Track deadlines, action items, and follow-ups to ensure accountability.

Marketing & Communications

• Maintain and coordinate routine company website updates.
• Draft, schedule, and publish LinkedIn posts, announcements, and company updates.
• Assist with marketing materials, presentations, and external communications.
• Help maintain consistent company branding and messaging.

Systems & Team Coordination

• Maintain internal systems, including Microsoft 365, Onyx OS, CRM, and project management platforms.
• Coordinate administrative tasks across team members and client engagements.
• Identify opportunities to streamline workflows, improve efficiency, and automate repetitive processes.
  

Qualifications

Required

• 3+ years of experience in business operations, administration, executive support, or a related field.
• Excellent organizational, written communication, and time-management skills.
• Proficiency with Microsoft 365, including Outlook, Teams, Word, Excel, and SharePoint/OneDrive.
• Ability to manage multiple priorities, work independently, and exercise sound judgment.
• Strong attention to detail, follow-through, and problem-solving abilities.
• Comfortable learning new technology and improving existing processes.

Preferred / Nice to Have

• Experience supporting a real estate development, construction, consulting, or professional services firm.
• Experience with real estate project management administration , including project documentation, consultant coordination, schedules, contracts, and deliverable tracking.
• Familiarity with AI productivity tools such as ChatGPT, Claude, and Gamma AI.
• Experience with Base44 or similar no-code/low-code platforms used to build applications, business tools, and automated workflows.
• Experience maintaining websites, developing LinkedIn content, or supporting digital marketing.
• Experience implementing SOPs, CRM systems, or operational improvements within a growing business.
