We are seeking an organized, dependable, and detail-oriented Bookkeeper to manage the day-to-day financial records of the company. This position is responsible for maintaining accurate records in QuickBooks, reconciling accounts, paying bills, and preparing accurate monthly Profit & Loss reports for ownership.

The ideal candidate is experienced with QuickBooks and understands how to keep company financials current, accurate, and properly categorized.

Key Responsibilities

• Maintain accurate and up-to-date financial records in QuickBooks
• Reconcile all bank accounts and credit card accounts monthly
• Review transactions and ensure expenses are properly categorized
• Enter and manage vendor bills
• Pay company bills accurately and on time
• Maintain accounts payable and monitor upcoming payment obligations
• Review vendor statements and resolve discrepancies
• Record deposits, payments, transfers, and other financial transactions
• Identify duplicate, unusual, or incorrectly categorized transactions
• Maintain organized financial records and supporting documentation
• Assist with year-end preparation and provide necessary information to the company's CPA/accountant

Monthly Financial Reporting

The Bookkeeper will be responsible for completing the monthly financial close and providing ownership with:

• Profit & Loss Statement
• Month-to-date and year-to-date financial results
• Revenue
• Cost of Goods Sold
• Gross Profit
• Gross Profit Margin %
• Operating Expenses
• Net Profit
• Net Profit Margin %
• Comparison to prior month and/or budget when applicable
• Explanation of any significant or unusual expenses or changes

Monthly financial reports should be completed and provided to ownership by an established deadline each month.

Account Reconciliation

The Bookkeeper is responsible for ensuring that:

• All bank accounts are reconciled monthly
• All credit cards are reconciled monthly
• QuickBooks balances match actual bank and credit card statements
• Outstanding or unusual transactions are investigated
• Duplicate transactions and incorrect entries are corrected
• Reconciliations are completed before monthly financial reports are issued

Qualifications

• Previous bookkeeping or accounting experience
• Strong experience with QuickBooks
• Experience with bank and credit card reconciliations
• Experience with accounts payable and bill payment
• Ability to prepare and review Profit & Loss statements
• Strong attention to detail and accuracy
• Excellent organizational and time-management skills
• Ability to maintain confidentiality regarding company financial information
• Ability to identify discrepancies rather than simply entering transactions
• Comfortable communicating financial issues directly to ownership

The Bookkeeper is expected to ensure:

• Bills are paid on time
• QuickBooks is kept current
• Accounts are reconciled every month
• Transactions are properly categorized
• Financial discrepancies are identified and corrected
• Monthly P&L reports are delivered on time
• Ownership has a clear and accurate picture of the company's financial performance
