Nursing and Health Professions Program Specialist Job Summary This position provides program accreditation support, including coordinating compliance documentation, implementing and maintaining established data tracking processes, record‑keeping, and organizing stakeholder meetings and events. It also provides general clerical and administrative program support, such as tracking budgets, creating meeting minutes, coordinating labs and inventory, generating onboarding and graduation materials, and tracking them appropriately for accreditation. The role emphasizes customer service and professional communication, collaboration, and support of departmental operations in accordance with established procedures. The position is budgeted for up to 1,900 hours per fiscal year. Responsibilities Coordinates and implements program ceremonies, activities, and stakeholder events such as nursing pinning ceremonies, paramedic coining ceremonies, advisory activities, and instructional support activities and events. Includes logistics such as scheduling, facilities, staffing, catering, technology, equipment, and marketing. Assists colleagues in planning and supports coordinated team delivery. Coordinates scheduling and logistical support for skills labs and other instructional program activities to ensure operational readiness. Provides instructional support by performing routine lab readiness activities, including organizing equipment and supplies, maintaining orderly instructional spaces, and supporting a safe and instruction‑ready learning environment. Provides general program support and customer service to students, faculty, staff, and community members. Collaborates with others to align support across the division. Provides administrative support for student progression processes, including preparing application materials for faculty review, supporting onboarding and orientation logistics, and tracking administrative milestones related to student entry, progression, and completion. Routes complex inquiries to appropriate personnel. Monitors budget activities and expenditures, ensuring proper posting of receipts and deposits; processes expenditure paperwork; reconciles accounts; makes recommendations regarding budgetary requirements and allocations. Generates and provides budget reports and tracking support to division staff and communicates updates to team members. Maintains budget tracking spreadsheets, supports procurement documentation, and assists leadership by compiling financial information used to inform planning discussions. Participates in a variety of meetings, events, conferences, and/or other related activities to receive and convey information. Shares updates and coordinates follow‑up actions with team members to support collective progress. Coordinates advisory board and governance meetings, including scheduling, preparing materials, communicating with members, reserving facilities, arranging catering and technology support, and recording detailed minutes to support accreditation and regulatory documentation requirements. Assists with the compilation, reporting, and tracking of various types of data and program methods. Compiles and tracks events, attendance, and program participation data; provides data reports to support multiple staff and division planning needs; collects, compiles, tracks, and maintains program outcome and accreditation data, including completion rates, licensure/pass rates, employment outcomes, and student learning outcomes. Maintains spreadsheets and prepares routine reports and summary visuals for review by program leadership and accrediting agencies. Coordinates and maintains student program records and documentation in accordance with accreditation, regulatory, and institutional requirements. Creates, organizes, and maintains student files; tracks clinical compliance documentation; and ensures records are complete and audit‑ready following established procedures. Assists with processing and archiving student files upon program completion and graduation. Monitors and maintains inventory of supplies, equipment, and instructional materials. Supports skills lab operations by managing equipment check‑out and check‑in processes and tracking usage and replenishment needs. Procures personal protective equipment (PPE), lab supplies, and safety materials in accordance with program requirements. Performs other duties of a similar nature or level. Required Training and Experience Associate’s degree or two‑year technical certificate, and up to two years of related experience; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above. Light work includes exerting up to 20 pounds occasionally, up to 10 pounds frequently, or a negligible amount of force constantly. Position may require some evening and weekend work.
