Position Overview

We are seeking a highly organized, detail-oriented, and customer-focused Sales Coordinator & Dispatch to support a well-established company in the gaming and manufacturing industry.

This position combines sales order processing, customer service, parts coordination, and service dispatch responsibilities. The ideal candidate will have strong administrative skills, excellent communication abilities, and experience working in a fast-paced office environment.

We are looking for a dependable professional who can manage multiple priorities, maintain accurate records, resolve customer inquiries, and coordinate effectively with internal departments and external customers.

Key Responsibilities

Sales Operations & Order Processing

• Process and enter sales orders accurately into the company's ERP system.

• Review purchase orders, sales documents, and supporting paperwork for accuracy and completeness.

• Coordinate order processing with sales, manufacturing, purchasing, accounting, and other departments.

• Track order statuses and maintain accurate records throughout the order process.

• Process order changes, returns, leases, service agreements, and related documentation.

• Prepare and maintain sales reports, order records, and revenue-related documentation.

• Ensure orders are properly verified and approved before being released for processing.

Customer Service & Support

• Respond professionally to customer inquiries by phone, email, and other communication channels.

• Assist customers with product information, parts availability, order statuses, and service requests.

• Research and resolve customer concerns while maintaining a high level of customer satisfaction.

• Provide accurate quotes and process customer parts orders.

• Document customer interactions, service requests, and resolutions.

• Escalate technical or complex issues to the appropriate departments.

• Maintain positive relationships with customers, technicians, and internal teams.

Parts Coordination & Service Dispatch

• Coordinate parts orders, returns, replacements, and inventory inquiries.

• Schedule and dispatch service requests to field service technicians.

• Monitor open service tickets and ensure timely follow-up and resolution.

• Communicate with technicians and customers regarding service schedules and updates.

• Process return merchandise authorizations (RMAs).

• Maintain accurate service records and prepare daily reports.

• Ensure service requests and orders are completed within established deadlines.

Qualifications & Requirements

• High school diploma or GED required; additional education preferred.

• 2-5 years of order processing, sales support, or related experience preferred.

• 3+ years of customer service, parts coordination, or technical support experience preferred.

• Experience in the gaming, manufacturing, or technical equipment industry is a plus.

• Proficiency in Microsoft Office, including Excel, Outlook, and Word.

• Experience using ERP or CRM systems preferred; Pronto experience is a plus.

• Strong data entry skills with excellent attention to detail.

• Excellent written and verbal communication skills.

• Ability to multitask, prioritize responsibilities, and meet deadlines.

• Strong problem-solving skills and ability to work independently.

• Comfortable working in a fast-paced, deadline-driven office environment.

• Must be able to obtain and maintain required gaming licensure.

Work Environment

• Primarily office-based position.

• Extended periods of sitting and computer use.

• Frequent use of computers, telephones, and office equipment.

• Must be flexible to work overtime, including occasional evenings, weekends, or holidays as business needs require.
