IT Operations Manager
CarbonCREI
Job Description
Job Description
Come build with us!
Codelitt is a software production company that bridges the gap between AI hype and measurable business impact.
Carbon Residential is a vertically integrated real estate company that acquires, operates, and manages multifamily communities across the United States.
We are looking for an IT Operations Manager who will support both organizations and take ownership of the systems, accounts, hardware, and day-to-day technology our teams rely on to do their jobs.
About the RoleWe’re looking for an experienced, hands-on IT Operations Manager to own and improve internal IT operations across Codelitt and Carbon Residential.
Both organizations operate with highly distributed teams, making reliable access, strong security practices, well-managed hardware, and responsive remote support essential.
You will be responsible for managing employee accounts and access across our software platforms, supporting onboarding and offboarding, maintaining our hardware inventory, resolving IT support requests, administering SaaS tools, and helping ensure employees follow appropriate security practices.
This is not a traditional office IT position. You will not spend your time maintaining printers or supporting an office network.
Instead, your environment consists primarily of remote employees, laptops, cloud-based applications, identity and access management, SaaS platforms, security controls, and remote troubleshooting.
This is also not a DevOps or software infrastructure position. Our engineering teams are responsible for production applications, cloud infrastructure, deployments, and application environments. Your focus will be the technology used by our people to securely and effectively do their jobs.
We want someone who doesn't simply respond to tickets. You should continuously identify opportunities to automate processes, improve documentation, reduce manual work, strengthen security, and make our IT operations more scalable.
Who You Are- You have experience managing IT operations for a distributed or remote organization.
- You are comfortable administering cloud-based systems such as Google Workspace, Slack, Zoom, password managers, ticketing systems, and other SaaS applications.
- You understand identity and access management principles and the importance of least-privilege access.
- You are comfortable troubleshooting employee hardware, software, authentication, and connectivity issues remotely.
- You understand the importance of reliable onboarding and offboarding processes.
- You are highly organized and can maintain accurate records of users, accounts, devices, licenses, and permissions.
- You have strong security awareness and understand concepts such as MFA, device encryption, account compromise, phishing, and privileged access.
- You can work independently and take ownership of problems from initial report through resolution.
- You communicate clearly with both technical and non-technical employees.
- You enjoy improving systems rather than repeatedly solving the same problem manually.
- You are comfortable working across two companies with different teams, systems, and operational needs.
Own day-to-day access management across Codelitt and Carbon Residential.
You will:
- Create, modify, suspend, and remove employee accounts.
- Provision access to applications based on employee roles and business needs.
- Manage groups, organizational units, shared accounts, aliases, and permissions.
- Maintain clear records of who has access to company systems.
- Manage administrator and privileged access carefully.
- Enforce multi-factor authentication and other company security requirements.
- Review access periodically and identify unnecessary, outdated, or excessive permissions.
- Ensure terminated employees have their access revoked promptly.
- Work with managers to understand and approve access requirements.
- Help establish role-based access wherever possible so access is standardized rather than handled manually for every employee.
Own the IT portion of the employee lifecycle.
You will:
- Prepare accounts and system access before new employees start.
- Coordinate hardware assignment and delivery when company equipment is required.
- Ensure employees have the appropriate applications and permissions for their role.
- Provide employees with clear instructions for accessing company systems.
- Support employees during their first days when technical issues arise.
- Suspend and remove access as part of employee offboarding.
- Transfer files, accounts, or system ownership when necessary.
- Coordinate the return or reassignment of company hardware.
- Maintain and continuously improve onboarding and offboarding checklists.
Our goal is to make onboarding predictable and repeatable so that access is based on someone's role rather than relying on someone remembering every individual application they need.
IT SupportAct as the primary point of contact for internal IT support across both organizations.
You will help employees with issues including:
- Account access.
- Password and authentication problems.
- Multi-factor authentication.
- Google Workspace.
- Slack.
- Zoom and other communication platforms.
- SaaS applications.
- Laptop and operating system issues.
- Software installation and configuration.
- Remote connectivity issues.
- Lost or replaced devices.
- Security-related concerns.
You will:
- Own and manage our IT ticketing process.
- Prioritize and resolve incoming support requests.
- Escalate issues to vendors, Engineering, Security, or other teams when appropriate.
- Communicate clearly with employees while issues are being resolved.
- Identify recurring problems and eliminate their root causes where possible.
- Build documentation so employees can resolve common issues themselves.
Maintain an accurate inventory of company-owned hardware across our distributed workforce.
You will:
- Track laptops and other company-issued devices.
- Maintain information including device owner, serial number, model, status, and location.
- Track devices that are available, assigned, in transit, being repaired, or retired.
- Coordinate hardware purchases when approved.
- Coordinate shipping equipment to employees.
- Coordinate device returns during offboarding.
- Prepare returned devices for reassignment.
- Maintain a clear chain of custody when hardware moves between employees.
- Track warranty and replacement information.
- Help establish standards for company-issued hardware.
- Ensure devices meet company security requirements before being assigned.
At any point, we should be able to answer questions such as "Who has this laptop?" , "Which devices are currently available?" , and "What equipment needs to be returned?"
SaaS & License ManagementHelp us manage the growing number of software platforms used across both companies.
You will:
- Maintain an inventory of company SaaS applications.
- Track users, administrators, licenses, and application owners.
- Add and remove licenses as employees join, leave, or change responsibilities.
- Identify unused accounts and licenses.
- Help prevent former employees from retaining access to company systems.
- Monitor upcoming software renewals.
- Coordinate with Finance and leadership regarding licenses and renewals.
- Work with vendors when technical or administrative support is required.
- Help identify redundant tools and opportunities to simplify our software environment.
Help maintain strong day-to-day security practices across both organizations.
You will:
- Monitor compliance with MFA requirements.
- Help enforce secure authentication and password-management practices.
- Ensure company devices meet baseline security requirements.
- Help maintain device encryption, operating system updates, and endpoint security controls.
- Review suspicious login or account activity.
- Respond to reports of phishing or compromised accounts.
- Immediately escalate significant security incidents.
- Remove stale accounts and unnecessary privileged access.
- Assist with periodic access and security reviews.
- Help employees understand and follow company security policies.
- Support security-awareness initiatives and training.
You will work closely with technical leadership on security matters, but you will not be expected to serve as the company's security architect.
Documentation & IT ProcessesBuild IT operations that are documented, repeatable, and scalable.
You will:
- Maintain internal IT documentation and knowledge-base articles.
- Document onboarding and offboarding procedures.
- Maintain application administration documentation.
- Document common troubleshooting procedures.
- Maintain device-management procedures.
- Help maintain access-control and security procedures.
- Keep documentation current as systems and processes change.
Important IT operations should not depend on knowledge that exists only in one person's head.
Automation & Continuous ImprovementLook for ways to reduce repetitive administrative work.
Examples may include:
- Automating account provisioning.
- Automating employee onboarding workflows.
- Automatically assigning users to groups based on their role.
- Automating IT tickets generated by HR processes.
- Automating hardware and software inventory updates.
- Automating license reporting.
- Identifying accounts that should be disabled or reviewed.
- Integrating systems using APIs, workflows, or automation platforms.
You do not need to be a software engineer, but you should be technically curious and comfortable learning how systems can integrate with each other.
Preferred Qualifications- 4+ years of experience in IT operations, IT administration, systems administration, corporate IT, or a similar role.
- Experience supporting a remote or highly distributed workforce.
- Strong experience administering Google Workspace or a comparable cloud productivity environment.
- Experience managing SaaS applications and employee access.
- Experience with employee onboarding and offboarding.
- Experience with hardware asset and inventory management.
- Experience with IT ticketing or help-desk platforms.
- Good understanding of identity and access management.
- Good understanding of MFA, SSO, password management, device encryption, and endpoint security.
- Experience supporting macOS and Windows environments.
- Experience remotely troubleshooting laptops and employee devices.
- Experience with MDM or endpoint-management platforms is a plus.
- Experience working with APIs, scripting, workflow automation, or no-code automation platforms is a strong plus.
- Experience working in real estate, property management, software, or another distributed organization is a plus.
- Excellent written and verbal English communication skills.
- Strong ownership: You take responsibility for resolving problems rather than simply forwarding them to someone else.
- Organization: Accounts, devices, permissions, licenses, and requests don't fall through the cracks.
- Security mindset: You understand that convenient access should never come at the expense of responsible security practices.
- Bias toward action: You proactively solve problems instead of waiting for detailed instructions.
- Communication: Employees understand what is happening and what they need to do.
- Patience: You can support employees with very different levels of technical knowledge.
- Attention to detail: Small mistakes in permissions, offboarding, or device tracking can create significant problems.
- Curiosity: You enjoy learning new systems and figuring out how they work.
- Process thinking: When you solve a problem, you think about how to prevent or simplify it next time.
- Comfort with ambiguity: You can take an incomplete IT problem, investigate it, and determine the appropriate solution.
Success in this role isn't measured simply by the number of support tickets you close.
You will be successful when:
- New employees have the accounts, hardware, and access they need when they start.
- Departing employees have access removed quickly and consistently.
- We know which employee has every company-owned device.
- Hardware can be returned, prepared, and reassigned reliably.
- Employees know where to go when they need IT support.
- Support requests are handled quickly and professionally.
- Leadership can easily determine who has access to important systems.
- Unused accounts and software licenses don't accumulate.
- MFA and other security requirements are consistently enforced.
- IT processes are documented rather than dependent on tribal knowledge.
- Recurring IT problems result in process improvements instead of recurring tickets.
- Manual administrative work is progressively replaced by standardized or automated workflows.
- IT operations across Codelitt and Carbon become more secure, organized, predictable, and scalable over time.
This role is ideal for someone who enjoys being the person who makes technology work smoothly behind the scenes.
If you like solving problems, building better processes, supporting people, and creating order across a growing collection of systems, users, and devices, we'd love to hear from you.
