Property Administrator-Class A Commercial

Location: Westlake, TX 76262

Pay Range: $26.44–$31.25 per hour

Employment Type: Contract-to-Hire or Direct Hire

Schedule: Monday–Friday, 8:00 AM–5:00 PM

Position Overview

The Commercial Property Administrator supports the daily operations and accounting functions of commercial properties. This role coordinates with tenants, vendors, and internal departments to ensure efficient building operations, excellent customer service, accurate financial records, and successful tenant engagement programs.

Essential Duties and Responsibilities

Operational Responsibilities

·        Obtain, track, and maintain tenant and vendor certificates of insurance.

·        Manage third-party service providers, verifying compliance with service contracts, performance standards, and building rules and regulations.

·        Collaborate with engineering and security departments to resolve building and tenant-related issues.

·        Conduct regular janitorial inspections in coordination with the janitorial team.

·        Distribute daily mail received in the management office to staff.

·        Maintain and update daily security clearance files.

·        Support the Glenstar Connect program by attending monthly planning meetings and organizing, coordinating, and setting up events.

·        Coordinate with designated vendors and monitor performance to ensure compliance with contract terms and specifications.

·        Coordinate and manage the Glenstar Giving philanthropic program.

·        Organize and coordinate the Employee Appreciation program, including monthly and annual events, awards, and training.

·        Assist with building initiatives, including special events, signage, seasonal décor, and other assigned projects.

·        Cross-train with team members to enhance operational knowledge and provide team coverage.

·        Provide reception coverage as needed.

·        Perform additional duties as assigned by the Senior Property Manager or General Manager.

Accounting Responsibilities

·        Deposit and track checks received in the management office.

·        Code, file, and enter invoices into Yardi.

·        Coordinate and prepare monthly tenant charges for billing.

·        Review changes to recurring tenant billings and approve commercial billing.

·        Monitor and review monthly accounts receivable aging reports and communicate delinquent accounts to tenants and the Senior Property Manager.

·        Collaborate with the Chief Engineer to complete monthly accruals.

·        Work with the Senior Property Manager to plan and administer the budget process, including planning, scheduling, and documentation.

Qualifications

·        Proficiency in Microsoft Excel and strong mathematical skills.

·        Experience with property management software, preferably Yardi for accounting and Angus for work order management.

·        Bachelor’s degree

·        Minimum of 1 year of commercial property management experience.
