Without this critical role, our efforts to provide “unreasonable hospitality” would be impossible. The Event Coordinator is responsible for supporting the sales department by way of completing administrative duties & confirmation calls to finalize event details. Additionally, the Event Coordinator participates in the exciting sales process and is responsible for a portion of booking our valuable social market.**YOU WILL BE AN OUTSTANDING EVENT COORDINATOR IF:** • You are friendly and demonstrate a “You Got It” attitude • You demonstrate good decision-making skills and can communicate effectively with guests, Sales Team and Management Team • You can communicate clearly and regularly with Operations, the Sales Team and guests • You can clearly verbalize guests needs to Operations and other Team Members • You have strong organization skills • You have strong verbal skills • You are able to analyze basic data to help Operations and the Sales Team with decision making • You can read and communicate in English**ESSENTIAL DUTIES AND RESPONSIBLITES:** • Go above & beyond to ensure the needs of each Special Events Guest are met, communicating all requests from host to ensure all contracts are updated accordingly. • Take RFP’s and calls for social events, converting them to closed “won” business. • Conduct Site tours as needed. • Ensure accurate and prompt distribution of all paperwork for “pop up parties” working through management team to ensure they are staffed to support. • Provide administrative support to the Sales Department including follow up on calls/emails/tasks with Event Host after the sale is “closed won”, communicating to Operations any changes to BEOs or updated signed contracts. • Follow up on AR’s, collect payment information, and close out any remaining balances. • Submit check requests/invoices as needed. • Ensure Operations has the most up-to-date BEO for each event. • Offer “upsell” opportunities to Event Hosts after sale is “closed won”.
