Role Purpose

Serve as the first point of contact for all incoming patient calls, ensuring communication is handled promptly, accurately, and with a high level of professionalism. The First Impressions Specialist plays a critical role in the patient experience by connecting callers to the right resources and supporting the overall flow of front office operations.

Key Responsibilities

Phone & Communication Management

• Answer and route all incoming calls promptly and courteously
• Maintain a high call answer rate throughout scheduled hours
• Relay accurate information to patients, staff, and providers
• Manage inbound and outbound calls, voicemails, and patient messages
• Ensure timely follow-up on all patient communication

Scheduling Support

• Assist with scheduling patient appointments accurately and efficiently
• Communicate scheduling details clearly to patients
• Refer complex scheduling needs to the appropriate team member

Administrative Coordination

• Manage incoming fax communications and route to appropriate departments
• Maintain organized records and documentation
• Support front office workflow as needed

Financial Transactions Support

• Process patient payments accurately when required
• Support daily transaction posting and account reconciliation as directed
