From the first consultation through document preparation, signing, funding coordination, and final delivery of their completed estate plan, you'll ensure every client feels informed, cared for, and confident they made the right decision choosing Bromlow Law. This position begins at approximately 20 hours per week with the expectation of growing into a full-time role as our firm continues to expand. Primary Responsibilities As our Client Services Coordinator, you'll play a critical role in ensuring every client receives an exceptional experience while helping the firm operate efficiently. Your responsibilities will include: Coordinate each client's estate planning journey from initial consultation through signing and final document delivery. Ensure client matters progress efficiently by completing assigned tasks before their due dates. Maintain proactive communication with clients so they always know what to expect next. Schedule consultations, drafting meetings, signing appointments, and follow-up meetings. Prepare estate planning binders and execution documents for signing appointments. Attend and facilitate estate plan signing meetings, ensuring all documents are properly executed. Answer incoming phone calls and respond to client inquiries promptly and professionally. Manage incoming and outgoing mail and ensure documents are processed accurately. Maintain accurate client records and update matters within Clio Manage. Coordinate document requests and assist attorneys with administrative support. Order office supplies and assist with office organization and maintenance. Help develop, document, and improve departmental processes, workflows, and standard operating procedures. Identify opportunities to improve efficiency while maintaining an exceptional client experience. Collaborate with attorneys and team members to ensure every matter is completed with excellence. Required Qualifications Previous experience working in an estate planning law firm is required. Experience coordinating estate planning matters from initial client engagement through signing and completion. Exceptional organizational skills and attention to detail. Strong time-management skills with the ability to prioritize multiple matters. Excellent written and verbal communication skills. Professional, compassionate, and client-focused demeanor. Proficiency with Microsoft Outlook, Word, Excel, and Adobe Acrobat/PDF. Ability to manage confidential information with discretion and professionalism. Preferred Qualifications Experience using DecisionVault. Experience preparing estate planning documents for execution. Experience facilitating estate plan signing meetings. Texas Notary Public (or willingness to become commissioned). Experience improving office systems, workflows, or standard operating procedures.
